The opportunity: Administration Support Officer
Are you a recent graduate or early-career professional looking to build a successful career in wealth management? This is an opportunity to gain hands-on experience in a foundational role that provides broad exposure to client services, operations and administration. Working closely with experienced advisers and support teams, you'll develop the skills, knowledge and industry understanding that form the basis of a long-term career in private wealth.
We are seeking a professional and reliable Administration Support Officer to join our team. This role offers variety, exposure to multiple areas of the business, and the opportunity to contribute to the smooth running of a dynamic workplace.
This is a development role designed to provide a strong foundation in both office operations and wealth management administration. The successful candidate will be expected to take ownership of core office support responsibilities before progressively taking on more specialised client and adviser support tasks.
As an Administration Support Officer, your responsibilities will initially focus on the day-to-day operations of the office, including:
- Ensuring kitchen areas are clean, tidy and well-stocked, including managing milk supplies and dishwasher rotation.
- Managing incoming and outgoing mail, including internal distribution and courier coordination.
- Providing reception cover during lunch breaks, early mornings and periods of leave.
- Reordering stationery, kitchen supplies and other office consumables.
- Assisting with the set-up and pack-down of internal meetings and events.
- Providing general administrative support across the business as required.
As you develop in the role, you will gain exposure to wealth management administration and client support activities, including:
- Preparing, printing and binding client packs and meeting documentation.
- Assisting our Adviser Support team with account-opening paperwork, meeting preparation and document collation.
- Contacting superannuation providers to obtain information required for Statement of Advice (SOA) preparation.
- Maintaining accurate client records within Xplan.
- Updating SOA client lists and ensuring information remains current.
- Coordinating Xplan access updates for the internal Insurance Specialist.
