About iHSEQ
iHSEQ is a specialist Health, Safety, Environment and Quality (HSEQ) consultancy based in Silverwater. We support contractors and principal contractors across the construction, civil, electrical, plumbing, maintenance, data centre and government sectors — helping them build compliant safety systems, achieve prequalification, and meet their WHS and ISO obligations. Our work is practical, client-facing and fast-moving.
We're looking for an organised, detail-focused WHS Administrator to support our consulting team and keep client documentation and compliance running smoothly.
The Role
Reporting to the Principal Consultant, you'll provide administrative and document-control support across a busy portfolio of client engagements. This is a hands-on role suited to someone who takes pride in accuracy, presentation and getting things over the line.
Key Responsibilities
- Maintain and update WHS and Integrated Management System (IMS) documentation, registers and templates, including version and document control
- Collate, format and finalise SWMS, risk assessments and safe work procedures to company standard
- Prepare and lodge contractor prequalification submissions (e.g. CM3, Avetta and similar portals)
- Maintain training matrices, competency and licence registers, and track renewals and expiries
- Log and track incidents, hazards, corrective actions and non-conformances
- Assist consultants in preparing client deliverables, audit packs and inspection reports
- Manage client correspondence, scheduling and file management
- Support ISO 9001, 14001 and 45001 system development and audit preparation
- Provide general administrative support to the consulting team
About You
Essential
- Prior administration experience, ideally in WHS/HSEQ, construction or a related field
- Strong document-control and formatting skills across Microsoft Word, Excel and Outlook
- High attention to detail and a methodical approach
- Ability to juggle competing priorities and meet deadlines
- Professional written and verbal communication
- General awareness of WHS terminology and requirements
Highly regarded
- Certificate IV in Work Health and Safety (or working towards)
- Experience with prequalification platforms (CM3, Avetta, etc.)
- Exposure to ISO 45001 / 9001 / 14001 management systems
- Familiarity with construction or electrical industry documentation
- Current White Card

Pay: $49,900.00 – $90,000.00 per year
