About the Role Due to our rapid growth, we are seeking a proactive, detail-oriented Scheduling Officer to support our busy Scheduling and Intake team. This role is critical to ensuring the smooth coordination of services across multiple programs.
You will be part of a dynamic team and work closely with Service Managers, Support Workers, and Case Managers. The role includes participating in an on-call roster and may involve working flexible shifts between 7:00 am and 5:00 pm, depending on operational needs.
Key Responsibilities

Build and manage accurate and efficient rosters across Disability, Aged Care, Clinical and Allied Health services
- Respond to last-minute changes, including shift cancellations and emergency cover
- Liaise with clients, workers, and internal teams to ensure seamless service delivery
- Maintain accurate documentation and records in CRM and scheduling systems
- Escalate operational concerns and flag potential risks to team leads or program managers
- Actively contribute to improving rostering practices and support the potential transition to new scheduling software
- Participate in a rotating on-call roster
Essential Criteria

Experience in rostering/scheduling within a disability, aged care, healthcare, or similar service-based setting
- Proficiency with CRM systems and rostering software (e.g., Visual Care, ShiftCare, AlayaCare, or similar)
- Ability to work collaboratively in a fast-paced, high-pressure environment
- Excellent interpersonal, written, and verbal communication skills
- Strong data literacy, with ability to analyse, interpret, and report on rostering KPIs
- Experience managing conflict, resolving service gaps, and prioritising client needs
- Committed to quality, compliance, and continuous improvement
Desirable

Knowledge of funding frameworks such as NDIS, DSOA, CHSP & Support at Home
- Prior experience in rostering or scheduling in a busy environment
