About the Role
Levett Engineering are a high-performance precision machining business delivering complex components and assemblies into aerospace and defence programs.
We are seeking a highly capable Administration Assistant to provide business support to our Leadership Team. This is a pivotal role that sits at the centre of the business, helping to drive organisation, coordination and operational effectiveness across the site.
As the Administration Assistant, you will act as the coordination hub for the Levett leadership team, and provide support to the wider team. You will be responsible for ensuring key business activities are effectively coordinated, administrative processes run smoothly, and important actions and commitments are tracked through to completion.
This is a diverse and fast-paced role that requires initiative, sound judgement, exceptional organisational skills and the ability to work confidently with stakeholders at all levels of the organisation.
Your Day | Your Week
Be the first point of customer engagement, via phone calls, welcoming external clients
Provide professional administrative support to the Leadership Team
Coordinate leadership meetings, prepare agendas, distribute materials and track actions to completion
Manage document control processes and support compliance-related administration activities
Ensure the smooth efficiency of the office, including the ordering of stationery, all office consumables, and the overall requirements to keep the business moving forward
Coordinate travel, site events, site tours and business initiatives
Provide support to other key departments within the business, including the project and quality management teams, as required.
Contractor compliance, including site access, regulatory compliance and ongoing monitoring
Support effective communication and information flow across the business
Maintain accurate records, documentation and filing systems
What We're Looking For
We are looking for someone who thrives on bringing structure, organisation and follow-through to a busy operational environment.
You will ideally bring:
Experience in a medium size organisation in administration, executive assistant, office management or business support role.
Exceptional organisational and time management skills.
Strong ability to coordinate multiple activities and manage competing priorities.
Excellent written and verbal communication skills.
Advanced Microsoft Office skills, including Outlook, Word, Excel and PowerPoint.
Strong attention to detail and commitment to accuracy.
Experience preparing reports, presentations and meeting documentation.
Ability to maintain confidentiality and exercise professional judgement.
A proactive approach with the confidence to identify issues and implement solutions.
Experience working within manufacturing, engineering, defence, construction or other operational environments will be highly regarded.
