Position Summary
The Office Manager is responsible for planning, organising and coordinating the administrative operations of Ghanbari & Associates Pty Ltd. The role ensures the efficient functioning of the office while supporting the firm's Iranian and Afghan client base through effective communication in both Farsi and English.
Key Duties and Responsibilities
- Manage the day-to-day administrative operations of the office.
- Develop, implement and maintain office systems, procedures and administrative processes.
- Coordinate workflow and oversee administrative support activities to ensure efficient service delivery.
- Manage client appointments, correspondence, records and document management systems.
- Liaise with clients, government agencies and external service providers.
- Assist Farsi-speaking clients by explaining processes, translating communications and facilitating effective client engagement.
- Monitor office resources, supplies and equipment and arrange maintenance when required.
- Support management with business administration, reporting and operational planning.
- Assist with staff coordination, onboarding and training of administrative personnel.
- Ensure compliance with office policies, privacy requirements and professional standards.
Skills and Experience
- Relevant qualification and/or experience in office administration or management (Equivalent to ANZSCO Skill Level 2).
- Demonstrated experience managing office operations and administrative systems.
- Strong organisational, communication and client service skills.
- Fluency in both Farsi (Persian) and English (Essential).
- Ability to work with culturally diverse clients and maintain confidentiality.
- Proficiency in Microsoft Office and common business administration software.
Why Farsi is Required
A significant proportion of Ghanbari & Associates' clients are from Iranian and Afghan backgrounds and have limited English proficiency. Fluency in Farsi and English is essential to facilitate effective communication, explain legal and administrative processes, assist with documentation, and maintain a high standard of client service.
