Primary Purpose of the position
Provide an effective full range of administrative support services, including reception, phones, filing and records management, data input and management, photocopying, scanning and tasks to support the smooth running of the service.
About our Practice
We are a fast growing Respiratory and Sleep Medical Practice located at East Maitland. Featuring a brand-new state-of-the-art sleep laboratory and consulting rooms.
The practice currently has six specialist consultants, (specialising in Respiratory and /or Sleep Medicine), Respiratory Function Testing Lab, Sleep Apnoea Clinic, Overnight In-Laboratory Sleep Centre, a team of 13 Medical Technicians, Administration and Management. Our team is continuing to grow.

Skills & Experience/Selection Criteria
· Experience in a Specialist Practice preferred (GP practice experience would be considered).
· Liaising with other staff members and medical professionals.
· Provide medical administrative services including responding to telephone and/or face to face reception and general enquiries, maintain filing/patient record systems, billing, receipting, faxing, scanning and management of appointments and typing.
· Using computerised patient management system (GENIE).
· Must have a positive "can do" attitude and be adaptable to constant change.
· Ability to manage a high-pressure environment with a friendly and professional manner with high level organisational skills.
· Ability to work collaboratively within a multi-disciplinary team environment.
· You must be organised and able to multi-task whilst running a busy clinic.
· You must have excellent communication and people skills, work with kindness and compassion both on the phone and in person.
· Excellent English verbal and written language skills
· High diligence in regard to all work tasks.
· Excellent IT and computer software skills are essential.
· Previous Genie experience (or relative experience).
· Medical financial experience would be highly desirable.
· Must be able to follow instructions and learn in an ever-evolving practice.
· Covid vaccination recommended.
· Working under limited direction and guidance with regard to work priorities whilst setting priorities and monitoring workflow in the area of responsibility.
· Performing work in a manner that is safe and does not pose a risk to others
· Speaking up about safety issues, including speaking to colleagues who are observed to work in an unsafe manner.
Key Challenges
· Establish and maintain effective working relationships with staff at all levels.
· Maintain focus on delivering a high-quality administrative support service in a complex medical environment.
· Prioritise tasks to ensure prompt turnaround time of allocated tasks as directed by the Practice Manager.
· Organise and prioritise daily routines to meet identified timeframes and deadlines and responding to problems or conflict and attending to the wide variety of day-to-day administrative tasks and resolving issues or escalating where appropriate.
· Adapt to new and changing business processes, computer systems, software updates and changing priorities.
· Be flexible to ensure adequate support is provided when dealing with sensitive matters in a community setting within given timeframes.
Pay: $32.00 – $36.00 per hour
