The Opportunity
We’re seeking a highly motivated individual for the position of Event Services Coordinator. The Event Services team are champions of the athlete experience, from the moment an athlete lands on our website, their journey is your hands. As an Event Service Coordinator, you will take the lead on creating and managing the athlete registration system, keeping website and App content current and accurate, coordinating non-retail event merchandise, event administration, and athlete support for your event portfolio of approximately 3-4 events annually.
Key Responsibilities

Registration platforms – Create, test, launch, and manage registration forms on applicable platforms. This includes working with all departments on specific requirements, providing athlete support through registration, collaborate with global team on local and event specific needs, ensure accuracy of data and that we meet legislative requirements.

Data management – Provide the administrative management of athlete data in line with relevant Privacy legislation. This encompasses managing large amounts of athlete data, ensuring its accuracy and producing event time reports for both internal and external supplier needs.

Website/App administration – ownership of website/app content and information. Update and correct information as required, oversee department specific requirements, ensure accuracy and consistency across all platforms.

Non-retail merchandise/athlete supplies – Project management of athlete supplies e.g. medals, t-shirts, bags, race bibs. This includes providing a design brief, managing supplier deadlines, forecasting ordering numbers, delivery tracking, distribution.

Manuals and documentation - Produce the operational documentation for successful event delivery across key areas such as Athlete Check In, Event Information, Start/Finish Lines, Event Sports Production and Commentary, Awards and Functions. This includes area manuals, rostering, run sheet/workflow, virtual and in-person briefing.

Customer service - Provide high level of customer service by working alongside the Customer Service team to ensure their events have an efficient and timely email and phone communication to pre, during and post event athlete enquiries.

Event delivery - Attend events and manage all athlete activity on the ground.

Lead athlete check-in, event information, start line protocols, finish line protocols, awards and functions.

Manage a team of full-time staff, casuals/contractors, and volunteers for the above areas.

Travel to approximately 6-8 events each year.

Qualifications & Experience:

Project management skills – Confidence and experience managing deadlines and project lifetime. Confidence communicating and working with internal and external stakeholders to ensure deadlines are met.

Computer literacy – High level of competency in Excel, specifically in report generation and data analysis. Experience in CRM/database software and confidence learning new programs. An understanding of technical functionality and APIs will be advantageous.

Communication skills – Excellent verbal and written communication skills, e.g. communicating with athletes and stakeholders over the phone, in email, and in person.

An interest, or experience of working in the sports or events industry.

A tertiary qualification in Event Management, or similar would be advantageous.

First Aid Certificate, valid/ able to obtain a Working with Children Check (Employee) and Drivers Licence.
Physical & Equipment Requirements:

Ability to move, position, transport, and install materials and equipment

Perform manual handling tasks, including bending, stooping, twisting, and reaching, associated with event setup, breakdown, and onsite operations.

Ability to stay stationary and/or move around the event site for extended periods of time, including during long event days, outdoor conditions, and uneven surfaces.

Ability to work in a variety of environments, including indoor and outdoor venues, and in varying weather conditions.

Ability to operate or assist with basic event equipment and tools as required for the role.
