About the Role
We are seeking an experienced and dynamic Tender Administrator to be a part of McKenzie Group's proposal and tender function across our Building Surveying, Accessibility, and Compliance Management service lines. This is a full-time opportunity that can be based in Melbourne, Sydney, or Brisbane and has become available due to an internal promotion. In this role, you will be responsible for managing a diverse portfolio of submissions, ranging from a high volume of fee proposals to larger, more complex tenders. You will ensure the accurate, consistent, and timely delivery of proposals that support our national operations. Working closely with stakeholders across the business, you will drive best practice across the tender and proposal lifecycle, enhance team capability, improve processes, and contribute to the ongoing growth and success of McKenzie Group.
Key Responsibilities
- Assist in the creation and delivery of a high volume of fee proposals each month (100+), ensuring exceptional accuracy, quality, and efficiency.
- Prioritise, allocate, and monitor tender workloads to meet client deadlines and internal service targets.
- Ensure all proposals comply with McKenzie Group's standards, approval processes, and quality requirements.
- Conduct quality reviews to ensure all submissions are commercially sound, client-focused, and aligned with company branding.
- Maintain and continuously improve proposal templates, content libraries, pricing tools, and procedures to support national consistency.
- Collaborate with Technical Leaders and key stakeholders to confirm scopes, deliverables, and project timelines.
- Maintain accurate proposal and pipeline data within Salesforce and other internal systems.
- Identify and implement process improvements, automation opportunities, and workflow enhancements to drive operational efficiency.
- Maintain a current library of capability statements, project case studies, and team resumes to support proposal development.
What We Are Looking For
You will thrive in this role if you are an organised, proactive leader with a strong understanding of tendering, proposal management, or operations within a technical or professional services environment. You will bring:
- Demonstrated experience managing high‑volume proposals or tenders, ideally within building, construction, engineering, or related industries.
- Exceptional attention to detail and a commitment to accuracy and quality.
- Excellent written communication skills and the ability to translate technical information into clear, compelling content.
- Strong stakeholder engagement skills and the ability to build trusted relationships across multiple teams and regions.
- Experience improving processes, implementing template or workflow standardisation, or driving automation.
- Confidence working with CRM or workflow systems (Salesforce experience highly advantageous).
- The ability to balance speed with quality, work under pressure, and manage competing priorities in a fast-paced environment.
- A continuous improvement mindset and passion for operational excellence.
