As an Executive Assistant, you’ll be a trusted partner to your executive, helping them stay focused, organised and ahead of what’s coming. You’ll bring strong judgement, organisation and attention to detail to a fast-paced role, managing competing priorities, anticipating needs and coordinating across the business to keep things moving.
Reporting to the Executive Operations Manager and working within a collaborative, team-based Exec Ops model, you'll seamlessly manage complex calendars, communications and day-to-day business activities while building strong relationships across the organisation.
You'll thrive in a fast-paced environment, using sound judgement, initiative and adaptability to anticipate needs, solve problems before they arise, and support your executive.
How You Will Contribute
- Partner closely with your executive, anticipating needs so they can stay focused on strategic priorities
- Manage a complex, high-volume calendar — prioritising against business needs, minimising conflicts and protecting time for what matters
- Prepare, review and refine executive presentations, reports and papers, including risk, governance and Board submissions
- Coordinate leadership meetings end to end: agendas, materials, logistics, minutes, actions and follow-through
- Support strategic initiatives, research and special projects — preparing briefing materials so your executive is well prepared
- Track key projects and deliverables across the portfolio, keeping deadlines and commitments visible
- Act as a key point of contact for internal and external stakeholders, screening and prioritising incoming requests and resolving or redirecting them
- Coordinate domestic and international travel, itineraries, expenses and credit card reconciliations
- Contribute actively to EA meetings and initiatives, working collaboratively with EAs across the business and providing backup support as needed
- Handle highly confidential information — supplier commercials, governance matters and organisational change — with complete discretion
- Support function-wide engagement activities including huddles, offsites and team events, delivered within budget
What You Will Bring
- Proven experience as an Executive Assistant supporting C-suite or ELT executives in a fast-paced, complex organisation
- Strong background in complex calendar and travel management, executive-level communication and meeting coordination
- Confident with systems and digital tools, and quick to adopt new ways of working
- Experience supporting governance, risk or Board-level documentation (highly regarded)
- Advanced Microsoft 365 skills — Outlook, Word, Excel, PowerPoint, Teams, SharePoint and OneDrive
- Exceptional organisational skills, attention to detail, time management and problem solving
- The ability to engage, influence and build trust with senior leaders and across diverse stakeholder groups
- Adaptability and resilience — managing competing priorities and changing deadlines without losing accuracy
- Complete integrity in managing confidential information
- A genuine partnership mentality, and a collaborative approach to working as part of a function rather than in isolation
