The opportunity
Due to continued client growth we are currently seeking a motivated Client Services Administrator to join our dynamic team. This position offers the opportunity to support a highly successful team of Private Wealth Advisers who operate within a collaborative team structure, managing a shared portfolio of high-net-worth clients and delivering an exceptional client experience within a Funds Under Management (FUM) structure. You will be joining a well-established support network, working alongside an Associate Adviser and three experienced Client Services Administrators.
As a Client Services Administrator you will undertake a range of duties including:
- Provide client account management, including facilitating the onboarding of new clients and supporting ongoing relationship management.
- Create and maintain client profiles in Xplan, ensuring data is accurate, up to date, and comprehensive.
- Monitor and manage client fund availability to ensure timely settlement of share purchases.
- Ensure Fee Disclosure Statements (FDS) and Opt-In’s are up to date and accurate.
- Collate portfolio information and facilitate the asset transfer process ensuring completion in a timely manner.
- Liaising with third party platforms to initiate rollovers, off market transfers, account creation and contribution data
- Generate and provide monthly, quarterly, and tax reports to clients, ensuring accuracy and timeliness.

This role would ideally suit someone looking to build a long-term career in wealth management and who is prepared to spend the first few years developing their expertise in an administration role before progressing to an Associate position.
To be successful in this role, you will demonstrate:
- Experience with data entry and data management tools.
- Exposure to fast-paced work settings or roles with tight deadlines.
- Exceptional focus on accuracy and precision in all administrative duties ensuring compliance with regulatory requirements.
- Ability to thrive in a dynamic and high-pressure financial industry environment, quickly adapting to changing circumstances and new challenges as they arise.
- University degree in commerce, finance or related field.
- Excellent written and verbal communication skills and the confidence to engage professionally with clients and colleagues.
- Strong organisational skills, attention to detail and the ability to manage competing priorities.
- A proactive approach to learning, together with a commitment to developing your technical knowledge, market awareness and client relationship skills.
- A high level of professionalism, personal accountability and integrity.
Most importantly, you will be someone who is curious, motivated and eager to learn from experienced advisers while contributing positively to a high-performing team culture.
