About the Role
As our Junior Administration Assistant, you will provide administrative support to the Practice Manager and broader team while ensuring our clients receive a professional and seamless experience. You will be responsible for a variety of office administration tasks and will become an integral part of our day-to-day operations.
We are looking for someone with a positive attitude, strong organisational skills, and a genuine commitment to providing exceptional client service.
Key Responsibilities
Your duties will include, but are not limited to:
- Confirming client appointments
- Data entry and maintenance of client records
- Scanning, filing, and electronic document management
- Assisting with client administration
- Processing and tracking documentation and applications
- Maintaining accurate records within our practice management systems
- Supporting the Practice Manager with administrative tasks and projects
- Managing incoming and outgoing mail
- Ordering and maintaining office stationery and supplies
- General office administration duties as required
About You
To be successful in this role, you will have:
- A professional and friendly phone manner
- Excellent written and verbal communication skills
- Strong attention to detail and accuracy
- A genuine "client first" approach
- Good organisational and time management skills
- The ability to work independently and as part of a team
- Proficiency in Microsoft Word, Excel, and Google Docs/Sheets
- Previous administration experience (financial planning or professional services experience will be highly regarded)
Full training will be provided in our industry-specific software systems.
Hours
This is a part-time position working:
Tuesday, Wednesday and Friday
8:30am – 5:00pm
Additional Requirements
- A current Police Check will be required prior to commencement.
- Australian working rights are essential.
