About the Role
We are seeking a highly organised and detail-oriented Maintenance Planner to join our Property Operations team. This role is responsible for planning, coordinating and monitoring reactive, preventative and corrective maintenance activities across UKO's portfolio of co-living and build-to-rent properties.
Working closely with internal stakeholders and external contractors, the successful applicant will develop maintenance schedules, maintain asset records, coordinate statutory compliance activities, and support the efficient operation and lifecycle management of building assets.
Key Duties & Responsibilities
- Develop, implement and maintain preventative maintenance schedules for building assets across UKO's residential property portfolio.
- Coordinate reactive, routine, corrective and emergency maintenance activities to minimise disruption to residents while ensuring timely completion of works.
- Schedule maintenance for building services including HVAC systems, electrical systems, plumbing, fire protection systems, lifts, security systems and common-area facilities.
- Maintain accurate asset registers, maintenance records, warranty information and compliance documentation within the Computerised Maintenance Management System (CMMS).
- Liaise with maintenance contractors and specialist service providers to coordinate inspections, servicing, repairs and capital maintenance works across multiple properties.
- Coordinate statutory inspections and essential services testing to ensure ongoing compliance with relevant building, fire safety and workplace legislation.
- Monitor maintenance performance, contractor service delivery and outstanding work orders, recommending improvements to maintenance planning and asset performance.
- Analyse maintenance data and prepare reports on asset performance, maintenance trends, compliance activities and operational efficiencies.
- Administer and maintain the organisation's Computerised Maintenance Management System (CMMS), ensuring maintenance schedules and asset information remain accurate and up to date.
Skills & Experience Required
- AQF Diploma, Advanced Diploma or Associate Degree in Maintenance Management, Facilities Management, Property Operations or a related discipline.
OR
- At least three years of highly relevant professional experience may substitute for the formal qualification.
- Minimum 2–3 years' experience in maintenance planning, facilities coordination, property maintenance or asset management within residential, commercial or multi-site property environments.
- Demonstrated knowledge of preventative maintenance planning, building asset management and statutory maintenance requirements.
- Experience using Computerised Maintenance Management Systems (CMMS) such as Yardi – Maintenance IQ, UpKeep, MEX, FSI or similar maintenance management software.
- Strong organisational, scheduling and contractor coordination skills.
- Excellent analytical, communication and problem-solving abilities.
- High level of attention to detail with the ability to manage multiple priorities across a portfolio of properties.
