The Opportunity
We are seeking an experienced and highly organised Admin & Allocations Coordinator to manage allocations, administration and operational support across the business.
This is a fast-paced role suited to a proactive, detail-oriented professional who thrives on keeping people, processes and operations running smoothly. Flexibility with afternoon working hours is essential, as daily rostering is completed and published each afternoon.
The Role
Your responsibilities will include:
- Create, publish and communicate daily rosters and allocations
- Coordinate scheduling, site bookings, inductions and deployment across projects
- Maintain workforce management system, records, training and compliance
- Coordinate training and workshops and prepare presentations and materials
- Review and resolve attendance records and prepare weekly reports
- Manage the full recruitment and administration process
- Maintain and coordinate uniforms, PPE and equipment
- Prepare and maintain business documents, reports, databases, project records and operational spreadsheets
- Support WHS compliance through maintaining safety documentation, audits, inspections and records
- Coordinate team meetings, distribute agendas and minutes, track action items and follow up to ensure timely completion
- Answer phones, manage enquiries, greet visitors, coordinate office deliveries and set up meeting rooms
- Drive workplace engagement and culture through the team events, communications, initiatives and the day-to-day management of a positive environment
- Maintain workplace facilities, including kitchen cleanliness, restocking and supplies, office cleaning and ensuring a professional, organised space
- Implement process improvements to enhance operational efficiency, workflow and service delivery
About You
To be successful in this role, you will have;
- Previous experience in administration, scheduling or operations coordination
- Highly organised, excellent attention to detail and can manage competing priorities
- Tech-savvy and confident using business systems, databases and Microsoft Office
- Proactive and able to take initiative to solve problems and improve processes
- Deadline-driven with the ability to work efficiently in a fast-paced environment
- Strong communication skills and the confidence to liaise with multiple stakeholders
- A positive, team attitude with a willingness to roll up your sleeves and get things done
