NDIS Administration Officer / Care Coordinator

About the Role
We are seeking an experienced, organised, and proactive NDIS Administration Officer / Care Coordinator to join our growing team on a casual basis, working approximately 2–3 days per week with flexibility to increase hours as the organisation grows.
This is a diverse role that combines administration, care coordination, compliance, and business development. We are looking for someone who can work independently, think ahead, and contribute to the continued growth of our NDIS and aged care services.
The successful candidate will play a key role in ensuring participants receive high-quality, person-centred supports while helping the organisation maintain compliance and expand its services.
Key ResponsibilitiesCare Coordination
- Coordinate participant supports and service delivery.
- Complete participant intake and onboarding.
- Develop and maintain care plans and support documentation.
- Prepare service agreements and participant documentation.
- Liaise with participants, families, support coordinators, allied health professionals, and external stakeholders.
- Monitor participant funding and service utilisation.
- Respond to participant enquiries and support requests.
Rostering & Workforce Coordination
- Create and manage staff rosters.
- Allocate shifts based on participant needs and staff availability.
- Manage roster changes and urgent shift replacements.
- Ensure appropriate staff matching and continuity of support.
Compliance & Administration
- Maintain participant and staff records.
- Ensure documentation meets NDIS Practice Standards and organisational requirements.
- Assist with audits, quality improvement activities, and policy implementation.
- Monitor staff compliance, including mandatory training, screening checks, and expiry dates.
- Prepare reports and maintain accurate records.
Business Growth & Marketing
- Assist with business development initiatives.
- Promote the organisation's services within the community.
- Support marketing campaigns and social media activities.
- Build relationships with hospitals, allied health providers, support coordinators, aged care organisations, and community groups.
- Identify opportunities to grow participant numbers and expand services.
About You
The ideal candidate will have:
- Extensive experience working within the NDIS and/or Aged Care sector.
- Strong knowledge of NDIS processes, funding, compliance requirements, and service delivery.
- Experience in participant onboarding, care planning, and service agreements.
- Demonstrated rostering and workforce coordination experience.
- Excellent organisational and time-management skills.
- Strong problem-solving ability and attention to detail.
- Confidence working independently while managing multiple priorities.
- A flexible and adaptable approach to changing business needs.
- Excellent written and verbal communication skills.
- High-level computer skills, including Microsoft Office and cloud-based systems.
- Professional presentation and strong interpersonal skills.
Highly Desirable

- NDIS Practice Standards and Quality Audits.
- Home Care Packages or Support at Home programs.
- CRM or rostering software.
- Social media management and digital marketing.
- Business development or community engagement.
- Tender writing or grant applications.
- Website management or content creation.
- Experience working in a growing disability or aged care organisation.
Essential Requirements
- Current NDIS Worker Screening Check (or willingness to obtain).
- National Police Check.
- Current Victorian Driver Licence.
- Reliable vehicle.
- Working with Children Check (if required).
- Strong computer literacy.
- Right to work in Australia.
Communication Skills
As this role involves regular communication with participants, families, staff, and external stakeholders, applicants should have excellent spoken and written English, with the ability to communicate clearly, professionally, and confidently.
