The Pointer People provide pointer board and open/auction day services to numerous Real Estate Agencies throughout metropolitan Melbourne.
About the Role
We are looking for a part time / casual services co-ordinator to manage our open and auction day services. You will work from home and provide your own computer and phone to execute administration tasks. The purpose of your role is to build and maintain weekly schedules, communicating with clients and co-ordinating the activities of a team of contractors. The number of hours varies per week depending on the volume of open and auction homes but typically will range from 10-15 hours per week across Monday to Friday. Although there are key milestones that need to be met each week, there are no set hours making for a highly flexible role. Keeping an eye on emails and responding to urgent matters when they arise is flexibility that we in turn require.
Key Skills & Experience
- Intermediate level of skill with Microsoft Excel
- Excellent communication
- Attention to detail, data accuracy, and problem solving
- Prior experience working in a process driven administration role
This role is ideally suited to individuals who are at home including semi-retired or retired individuals who are looking for something to occupy part of their time whilst earning income.
Key Tasks & Responsibilities
- Data entry of orders into the system (Excel based)
- Communication (via email) with clients to ensure all auction schedules are known and accurately represented in our system. This includes maintaining schedules as changes occur.
- Assignment of opens/auctions to contractors to optimise the schedule, and issuing of runsheets to them to advise of their requirements
- Advise (the director) of scheduling concerns (e.g. team member availability gaps, stock shortfalls or movements required)
- Respond to ad-hoc queries from clients or team members regarding ADS orders and plans. Escalate matters to the Director where needed and/or collaborate with other staff on overlapping administrative matters
- Assist in educating new stakeholders (clients or team members) with how our service works and the administrative process and timelines to be followed
- Occasionally you may be requested to run an errand (e.g. collect a sign from a client or property). Melbourne based candidates will therefore have an advantage.
Pay: $30.00 – $32.00 per hour
