Primary objective
To provide high level professional information management, quality assurance and coordination of correspondence,
secretariat and administrative support to the Executive Director (ED) and wider Teaching and Learning Services (TLS)
division.
Context statement
Teaching and Learning Services (TLS) provides evidence-based differentiated services and support to schools to maximise
outcomes for Territory children and young people. Our services encompass quality teaching and learning, national and
systemic assessment, transition to boarding school support and policy coordination. TLS also plays a strategic role in
implementing government priorities, offering expert advice to the Minister for Education and Training and the department’s
senior executives. We enhance our work by actively engaging with a broad range of stakeholders to ensure best outcomes
for all our clients.
Key duties and responsibilities
1. Prepare and coordinate high quality correspondence, briefings, reports and responses to whole-of-government reporting
requirements with reference to established processes and guidelines including adherence to the department’s style guide.
2. Manage information collation, analysis and reporting tools to ensure relevance, accurate and reliable information on
program activities and performance is available to meet executive needs.
3. Liaise effectively and professionally with internal staff at all levels within the department, as well as external stakeholders,
4. Act as a leader and mentor to the junior staff in the team, including taking the lead on project work and monitoring tasks
to ensure that they are completed on time and to a high standard.
5. Undertake project work and provide secretariat support across the division as required.
Selection criteria
Essential
1. Demonstrated high-level oral and written communication skills, with the ability to build and maintain effective networks
with a range of internal and external stakeholders from diverse backgrounds.
2. Substantial experience, understanding and ability to provide support in government and ministerial guidelines, procedures
and protocols including preparation of correspondence, briefings and complex reports.
3. Ability to identify stakeholder expectations and concerns, discuss issues credibly and thoughtfully and negotiate with a
clear understanding of the key issues.
4. Secretariat experience with committees/boards, including coordination, minute taking and following up actions.
5. Demonstrated ability to discern sensitive issues, maintain confidentiality, work under pressure, manage changing and
competing tasks and priorities within required timeframes while maintaining a high attention to detail and accuracy.
6. Sound organisational skills with the ability to take personal responsibility for meeting objectives and progressing work to
achieve expected outcomes with minimal supervision.
Desirable
1. Knowledge of government systems such as Electronic Invoice Management System (EIMS), Travel Request Information
Processing System (TRIPS), Territory Records Manager (TRM)
