Primary objective
The Senior Executive Assistant provides high level executive support and project management services to assist with the
coordination of the Chief Executive Officer’s (CEO’s) day to day priorities as well as the timely flow of accurate information to the
Ministers office, executive staff, governance and key stakeholder groups.
Context statement
The CEO’s support team comprises of the Senior Executive Assistant and the Executive Officer providing direct and high-level
administrative, governance and communication support to the Chief Executive.
Key duties and responsibilities
1. Provide high-level executive support to the CEO, Executive Director, Executive Officer and other senior executives and agency
executive support staff to ensure the priorities of the CEO are planned and met.
2. Manage the CEO’s diary, day-to-day movements and travel requirements, anticipating needs to ensure the CEO is
appropriately briefed on risks and matters requiring attention.
3. Coordinate and monitor an extensive volume of correspondence and undertake meeting administration and preparation.
4. Manage, review and at times prepare high-level correspondence including responses, memorandums, briefings, and messaging
for the CEO ensuring accuracy, comprehensiveness and timeliness of written information.
5. Act as the first point of contact for the office and support the CEO in managing effective partnerships, particularly with
executives and key stakeholders.
6. Undertake research, provide accurate analysis of various issues and prepare advice and information for the CEO to facilitate
informed decision making.
7. Foster a positive workplace culture through exemplary leadership practices and role modelling behaviour.
Selection criteria
Essential
1. Extensive experience providing executive support to a senior executive including calendar and email management, and within
a complex organisation where there are multiple competing priorities.
2. Proven ability to exercise sound judgement and make well-informed decisions, particularly in respect to politically sensitivity
and confidential matters.
3. Exceptional interpersonal and oral communications skills with demonstrated ability to work collaboratively to maintain
effective partnerships and provide sound advice to staff and executives.
4. Excellent organisational, coordination and time management skills, with demonstrated ability to use initiative and remain calm
and productive in a high pressure environment with changing priorities.
5. High-level written communication skills, with ability to coordinate, review and prepare correspondence and responses with
high attention to detail, maintaining high standards of accuracy and quality assurance.
6. Ability to think strategically, problem-solve and identify continuous improvement opportunities to deliver high quality business
outcomes, and an ability to cultivate this in others.
7. Proficiency in the use of office software applications such as Outlook, Word, Excel, PowerPoint and other computer systems
and processes.
Desirable
1. Experience in providing executive level support in an Infrastructure or Government sector.
2. Understanding of the structure of Government, including delegations and the relationship with key Government processes
including government administration, Ministerial, Cabinet and legislative processes.
3. Undertake a Criminal History Check.
