The Role: Facilities Administrator will provide comprehensive administrative support across finance operations, ESG reporting, compliance documentation uploads, and contract management for the Australian FM portfolio. This role offers a valuable opportunity to broaden your skills by supporting onsite operational activities—including escorting vendors, managing Safe Work Method Statements (SWMS), and raising work permits—while serving as a key enabler for the Workplace Experience & Operations team. Flexibility for occasional after-hours support during critical periods or emergencies is required.
Duties include but are not limited to:
Provide end-to-end administrative support for finance operations, including raising purchase orders, processing invoices, goods receipting, and supporting financial reporting across the Australian FM portfolio.
Manage and upload compliance documentation, including permits, safety records, and service reports ensuring accuracy and audit readiness.
Support contract administration by tracking key dates, maintaining vendor documentation, and assisting with governance and compliance checks.
Contribute to ESG reporting initiatives by collecting, validating, and submitting required facility-level data.
Assist with onsite operational activities to build practical FM experience—such as escorting vendors, managing Safe Work Method Statements (SWMS), and raising work permits.
Attend vendor and operational meetings as required; follow up on administrative action items, including payment or documentation issues.
What you will bring:
Strong verbal and written communication skills
Ability to work autonomously with minimal supervision
High attention to detail and accuracy
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Intermediate computer literacy with ability to navigate FM or ERP systems
Organizational capability to manage finance, compliance, and documentation tasks efficiently
Facilities support experience preferred
