The Senior Executive Assistant provides high-level, proactive support to the Chief Executive Officer and JMC Executive Team. The key priority for this role is to ensure thatthe CEO remains well ahead of upcoming priorities and commitments. The role anticipates the CEO’s needs, focuses their time and attention, and progresses work through to completion with minimal prompting. Strong diary and inbox management is a core foundation of the role, underpinned by a true appreciation of key priorities, forward planning, sound judgement and discretion.
The position sits within the Office of the CEO and works closely with the JMC Executive Leaders and the organisation’s project management function and a shared administrative support resource, which this role coordinates. The Senior Executive Assistant tracks and follows up actions across the Executive Leadership Team and provides the CEO with concise, timely status updates, ensuring that any data and reporting is accurate and produced in a timely manner This role requires a strong commercial acumen and a true appreciation for organisational strategic priorities.
FORWARD PLANNING AND ANTICIPATION
- Maintain forward visibility of the CEO’s and Executive Team’s priorities across the weeks ahead, including items due, upcoming and at risk.
- Monitor the CEO’s schedule and commitments, including reports, board and governance meetings, and identify matters requiring attention in advance.
- Anticipate the next steps of any task, not only the immediate request, and progress them proactively.
- Focus and prioritise the CEO’s time and attention by managing competing demands on the diary and maintaining focus time.
CALENDAR AND MEETING MANAGEMENT
- Ensure every meeting invitation has a clear, meaningful subject line that reflects its purpose.
- Provide a concise context brief for external meetings in advance, so the CEO is well prepared.
- Manage scheduling end to end, including venue or room bookings, realistic travel time between locations, logical sequencing of the day, and confirmation of attendance.
- Accept or decline meeting invitations on the CEO’s behalf and proactively resolve any scheduling conflicts.
- Coordinate the logistics of executive events, planning sessions, town halls and stakeholder meetings, including in-person and online attendance.
ACTION TRACKING AND FOLLOW-UP
- Maintain a live register of open actions, follow-ups and commitments, including invoices and pending items, and review it regularly with the CEO.
- Track actions across the Executive Leadership Team, following up directly with the relevant executive and providing the CEO with a clear status on outstanding items.
- Ensure invoices are confirmed and forwarded for processing, and that open items are followed through to completion.
- Support Executive Leadership Team projects by managing timelines, follow-ups and deliverables.
INBOX AND COMMUNICATIONS
- Monitor and triage the CEO’s inbox regularly, flagging time-sensitive matters with relevant context and any action required.
- Act as first point of contact for the CEO, handling and routing queries with judgement.
- Draft and edit correspondence, reports, briefing documents and presentations on behalf of the CEO to a finished standard.
- Provide the CEO with a regular summary of completed items, outstanding matters and priorities for the week ahead.
BOARD AND EXECUTIVE SUPPORT
- Coordinate board and committee meetings: agendas, packs, minutes and logistics, to deadline and to standard.
- Prepare and quality-check board and executive papers; understand governance and compliance expectations.
- Coordinate domestic and international travel, itineraries and accommodation.
CONFIDENTIALITY, RELATIONSHIPS AND RESILIENCE
- Handle sensitive information with absolute discretion and act as a trusted liaison between the CEO, the Executive Leadership Team, the Board and People & Culture.
- Build strong working relationships across the business, while ensuring the core responsibilities of the role remain the primary focus.
- Remain calm under pressure and develop contingencies for travel disruption, IT issues and scheduling conflicts.

ESSENTIAL
- Proven experience supporting a Chief Executive or senior executive in a high-accountability environment (for example private equity backed, professional services, finance, or a founder-led business).
- Demonstrated proactivity, with a track record of anticipating needs and acting ahead of requests.
- A systems thinker with a structured, repeatable approach to managing workload and priorities.
- Exceptional attention to detail, with a consistent practice of quality-checking own work.
- Strong written and verbal communication, including confidence in preparing board-level documents and presentations.
- Sound judgement and discretion, with the confidence to follow up senior stakeholders and support commitments through to completion.
- Strong commercial acumen.
- Board reporting experience and a sound understanding of governance and compliance standards.
- Advanced proficiency in Microsoft 365 (Outlook, Teams, SharePoint, Word, Excel, PowerPoint) and experience with project or action-tracking tools.
