The Role
We’re looking for someone extremely trustworthy, organised and disciplined to manage our day-to-day bookkeeping and assist with the admin side of purchasing and coordination.
You’ll be the person who keeps the numbers clean, the spreadsheets updated and the suppliers on track. Your core focus will be Xero bookkeeping, but you’ll also assist with supplier communication, shipment tracking and operational admin. For someone who is detail-oriented and enjoys following things through to completion, this is a great fit.
This is a full-time, on-site role at our Sydney office, working 38 hours per week (Monday to Friday).
Key Responsibilities
Finance (Primary Focus ~2–4 hours per day):
- Daily bookkeeping using Xero
- Accounts payable & receivable
- Bank reconciliation
- Producing clear reports for management (summaries for fast decisions)
Procurement & Operations Support:
- Creating & managing purchase orders in Xero
- Tracking supplier paperwork & documentation
- Following up with production teams on timelines
- Coordinating ETA & schedules with the ops team
- Double-checking SKUs, printing and labelling paperwork
General Administration:
- Follow, contribute to and update company SOPs
- Assist with day-to-day operational admin
- Tidy systems, sort files and keep things moving without needing reminders
About You
✅ You’ve got experience with Xero and bookkeeping
✅ You understand GST and account allocation
✅ You can manage and track employee expense reports
✅ You’re organised and self-sufficient — no handholding
✅ You know how to summarise complex info into quick decisions
✅ You’re discreet — you’ll be handling sensitive financial data
✅ You take ownership and get things done
✅ You can chase employees for expense info, AR/AP, or supplier commitments
