Position Summary
We are seeking a highly organised and proactive Administration Officer to join our disability services team. This role is suited to someone who is confident, energetic, and thrives in a fast-paced environment.
You will be responsible for providing high-quality administrative and customer service support, managing inbound and outbound calls, handling enquiries, maintaining records, rostering, and supporting service management functions to ensure the smooth delivery of services to participants, families, and staff.
The role requires strong English communication skills, strong attention to detail, and the ability to manage multiple priorities while maintaining a high standard of service.
Key Responsibilities
Customer Service & Communication
- Manage inbound enquiries via phone, email, and online platforms.
- Make outbound calls to follow up on enquiries, referrals, and service requests.
- Provide professional and friendly customer service to participants, families, and stakeholders.
Administration & Record Management
- Maintain accurate participant records and update client management systems.
- Support general administrative duties including data entry, filing, and document preparation.
- Ensure confidentiality and compliance with organisational policies.
Service Coordination & Management Support
- Support day-to-day service operations to ensure smooth delivery of supports.
- Manage with rostering and scheduling of support workers and services.
- Monitor service schedules and help manage changes, cancellations, and urgent shifts.
- Liaise with support workers, team leaders, and coordinators to ensure service continuity.
- Assist in matching participants with appropriate services and staff where required.
- Support tracking of service delivery, shifts, and service-related documentation.
Scheduling & Coordination
- Schedule appointments, services, and meetings as required.
- Coordinate communication between internal teams to support service delivery.
Essential Skills & Experience
- Previous experience in administration, customer service, call centre, or office support roles.
- Strong experience handling inbound and outbound calls.
- Experience with customer enquiries, follow-ups, and service coordination.
- Excellent written and spoken English communication skills.
- Strong phone manner with the ability to communicate professionally and confidently.
- Ability to work in a fast-paced environment with competing priorities.
- Strong organisational and time management skills.
- High attention to detail and accuracy in data entry and documentation.
- Proficient in Microsoft Office and general computer systems.
- Ability to work independently and as part of a team.

Compliance Requirements
- National Police Check (within last 12 months or willingness to obtain).
- NDIS Worker Screening Check (mandatory or willingness to obtain prior to commencement).
- Working With Children Check (if required depending on service type).
- Right to work in Australia (Australian citizenship, permanent residency, or valid visa).
- Current driver licence (preferred for service coordination roles).
- Proof of COVID-19 vaccination status (if required by organisational policy or service settings).
- Completion of NDIS Worker Orientation Module – “Quality, Safety and You” (or willingness to complete).
- Commitment to comply with the NDIS Code of Conduct.
- Adherence to organisational policies, procedures, and confidentiality requirements.
- Willingness to complete ongoing mandatory training including workplace health and safety, manual handling (if applicable), and safeguarding training.

Pay: $35.00 – $40.00 per hour
