Maintenance & Stores Coordinator (0.8–1.0 FTE)
Location: Canning Vale MRF / FOGO Facility
Role Purpose
The Maintenance & Stores Coordinator supports the effective management of spare parts, inventory, and site maintenance activities. This role provides assistance in maintaining accurate data within the maintenance system (MEX), coordinating materials and suppliers, and supporting general site maintenance activities.
The position is suited to an early-career professional looking to develop skills in maintenance coordination, inventory management, and site operations.
Key Responsibilities
1. Stores & Inventory Management
· Support the management of site stores including spare parts, consumables, and maintenance materials
· Maintain accurate inventory records and stock levels to meet operational needs
· Conduct regular stocktakes and assist in investigating discrepancies
· Support identification of critical spare parts and maintenance of minimum stock levels
· Maintain clean, organised, and safe storage areas
2. Procurement & Supplier Coordination
· Raise and manage purchase orders (POs) in accordance with company processes
· Liaise with suppliers on pricing, availability, and delivery schedules
· Track and expedite orders to ensure timely supply of materials and services
· Support invoice matching and reconciliation against approved POs
· Assist in sourcing cost-effective and reliable suppliers
3. Maintenance Planning & Coordination
· Support planning and coordination of plant & general site maintenance
· Raise and schedule work requests in coordination with site teams and contractors
· Assist in the development of basic maintenance schedules for site infrastructure
· Monitor progress and completion of maintenance activities
· Follow up on outstanding tasks to ensure closure
4. Maintenance Systems & Data Management
· Enter and maintain accurate data in the site maintenance system (MEX)
· Ensure work orders, asset data, and service records are up to date
· Support reporting on maintenance activities, costs, and trends
· Maintain documentation for assets, suppliers, and service history
5. Safety & Compliance
· Ensure all materials and stores are handled and stored safely in line with site requirements
· Support safe work practices by ensuring correct materials, documentation, and PPE availability
· Assist in contractor coordination, ensuring site safety requirements and inductions are met
· Identify, report, and escalate hazards related to stores, maintenance, or contractor activities
· Support compliance with WHS policies, procedures, and regulatory requirements
Key Skills & Experience
· 1–3 years’ experience in stores, admin, or maintenance support (or similar)
· Exposure to inventory or purchasing processes (preferred)
· Familiarity with maintenance systems such as MEX (preferred, not essential)
· Strong organisational and attention to detail
· Willingness to learn and develop in a maintenance environment
