The department provides a wide range of learning and development support and services.
The department provides policy leadership, plans for the future of education in Victoria and leads key cross-sector collaboration. The department plays an important system steward role by providing support, guidance, oversight and assurance across early childhood and school education systems, as well as directly providing school education and 50 new early learning centres.
About the Division:
International Education and Partnerships Division (IEPD) leads global learning and engagement activities for the department and works with schools to offer programs to connect students with the world. The IEPD plays a leading role in pursuit of this objective, by:
- Leading the internationalisation of education in Victorian government schools
- Delivering a range of programs aimed at helping students, teachers and school leaders to develop inter- cultural capabilities, build international networks and become global citizens
- Facilitating education-related, government to government linkages and cooperation between Victoria and other countries
- Delivering high quality services to international students in accordance with the obligations of DE as a registered provider under the Education Services to Overseas Students (ESOS) Act 2000.
As part of IEPD, the Executive Assistant's responsibilities are to:
- Manage a complex, high-volume diary and inbox, proactively prioritising competing demands
- Provide end-to-end executive support including meetings, travel, briefings and correspondence
- Coordinate governance processes, committees and senior stakeholder meetings (agendas, papers, minutes)
- Build strong relationships across government and external stakeholders, supporting effective engagement
- Anticipate priorities, identify issues early and drive process improvements to support workflow, including HR matters.
- Provide responsive, high-quality support in a dynamic environment with shifting priorities
About the Role
Reporting to the Executive Director, the Executive Assistant provides high quality executive and administrative support to the Executive Director and whole division including calendar and email management, travel, and meeting logistics, and briefing and correspondence support. You will use your initiative to prioritise tasks and manage them. This role also includes providing high level HR support to the division and updating divisional data as well as paying invoices and monitoring all workflow.
Attributes
As our ideal candidate, you will have:
- Demonstrated experience providing high level support to senior leaders
- Experience using VPS systems such as Oracle Cloud and Briefing Connect
- Strong proficiency in managing confidential information, meeting deadlines, and delivering high-quality outcomes.
- Strong organisational and prioritisation skills, with the ability to manage competing demands in a fast-paced setting
- A proactive, solutions-focused approach, with the ability to anticipate needs and confidently manage upwards (including pushing back where needed)
Desirable Qualifications and Experience
Desirable 3+ years' experience providing high-level executive support to senior leaders in complex environments
