Primary objective
Provide travel logistics, planning and administration for the delivery of NT Hearing Services.
Key duties and responsibilities
1. Efficient and effective travel coordination and logistics management to facilitate Hearing Services across communities
in the NT including planning, liaising, booking, communication, record keeping, finance and handling changes.
2. Communication, coordination and negotiation with a broad range of stakeholders including service providers, clinic staff,
staff travel, travel providers, interpreter services and Health Service staff.
3. Develop and maintain accurate electronic records and files.
4. Participate in development and maintenance of administrative and operational procedures.
5. Engage with Northern Territory Government (NTG) and 3rd party systems including Travel Request Information
Processing System (TRIPS), Electronic Invoice Management System (EIMS), SharePoint, Microsoft Suite and QBT/AOT
online to facilitate delivery of the services.
6. Follow defined service quality standards, work health and safety policies and procedures relating to the work being
undertaken in order to ensure high quality, safe services and workplaces.
Selection criteria
Essential
1. Demonstrated ability in complex remote travel logistics and coordination.
2. Demonstrated ability to problem solve by applying critical thinking.
3. Proven ability to organise, prioritise and complete workload to meet deadlines in a high demand work environment;
including rescheduling and reorganising workload to reflect changes in day-to-day priorities.
4. Demonstrated high level written and oral customer service skills with evidence of structured, clear and succinct
messages.
5. Demonstrated high degree of accuracy in record keeping and data management.
6. Experience in training and or supervising others with the ability to write clear operational procedures.
7. Demonstrated competency in the use of online travel management system, and/or financial management programs and
proficiency with Microsoft Office or similar.
8. Demonstrated ability to work within a flexible team and achieve a demanding team workload.
Desirable
1. Experience in NTG software packages and databases, e.g. SharePoint, TRIPS, EIMS, QBT online and Clinical
Workstations.
2. Sound working knowledge of Air Charter logistics in the Northern Territory.
