About the Role
We are looking for a mature, reliable, and detail-focused Office & Project Administrator to help keep our office operations, front desk reception, supplier coordination, finance documentation, procurement administration, and project administration support organised, accurate, and running smoothly.
The role suits someone who enjoys structure, clear communication, follow-up, accurate records, and practical support work.
You will support office administration, project records, client and supplier communication, invoice and expense records, procurement follow-up, internal systems, and general admin coordination.
Key Responsibilities
- Support front desk reception, client greetings, visitor coordination, phone calls, and general office enquiries.
- Keep office records, project documents, admin files, supplier records, invoice records, and expense records organised and up to date.
- Follow up supplier deliveries, backorders, refunds, missing items, quotation information, and supplier responses.
- Assist with invoice preparation, payment documentation, receipts, bank statement records, delivery dockets, and supporting documents.
Requirements
- 3–5 years’ experience in office administration, project administration, customer service, coordination, or a similar role.
- Fluent in both Mandarin and English, with the ability to communicate clearly with clients, suppliers, and internal team members.
- Full working rights in Australia.
- Organised, detail-focused, and reliable with records, documents, follow-up, and admin tasks.
- Confident and professional in answering phone calls, greeting visitors, and handling basic enquiries.
- Able to organise documents, maintain records, follow up pending items, and complete tasks accurately.
