Summary:
The Administration Support Officer plays a vital role in ensuring the smooth operation of our administrative functions in North Geelong. This entry-level position is ideal for individuals looking to start their career in administration, providing essential support to various departments and contributing to the overall efficiency of the organisation. The successful candidate will be part of a dynamic team, helping to maintain high standards of service and organisation.
Responsibilities:
- Be the first point of contact for visitors, contractors, and callers, delivering a professional and welcoming front-of-house experience.
- Manage reception activities, including phone enquiries, mail, deliveries, visitor sign-in processes, and meeting room bookings.
- Coordinate meeting room setup, catering arrangements, and maintain presentation of reception and shared office spaces.
- Provide administrative support across multiple business units, including document preparation, data entry, records management, filing, and correspondence.
- Support employee onboarding activities, including administration, workspace setup, and access coordination.
- Assist teams based at the Thompson Road Hub with day-to-day administrative and office support.
- Manage office supplies, consumables, and equipment, and coordinate maintenance and facilities requests.
- Maintain accurate records, registers, and administrative systems to ensure compliance and consistency.
- Work collaboratively with HR, Finance, Facilities, Rostering, and other business functions to resolve enquiries and support operations.
- Contribute to continuous improvement by maintaining clear processes and identifying administrative risks or gaps.
- Undertake additional administrative duties as required to support the business and wider team.
Qualifications:
- High school diploma or equivalent; further education in administration or related field is an advantage.
- Previous experience in an administrative role is preferred but not essential.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organisational skills with attention to detail.
- Excellent verbal and written communication skills.
- Ability to work effectively both independently and as part of a team.
- Current Australian Drivers Licence
