About the Role
We are seeking a highly organised and proactive Administration Officer to join our team at Thomas Embling Hospital.
In this role, you will provide essential administrative support to clinical units, helping ensure the smooth running of hospital operations. Working closely with multidisciplinary teams, you will play a key role in supporting efficient service delivery and timely access to care.
In this role you will:
- Maintain accurate and up-to-date consumer records in line with policy and confidentiality requirements
- Support admissions, transfers, and discharges, including preparation of documentation
- Coordinate appointments, hearings, and clinical schedules
- Provide general administrative support to clinical teams and unit operations
- Manage incoming calls and enquiries, ensuring professional communication and escalation where required
- Assist with reporting, audits, and compliance processes, including data collation
- Coordinate team resources and equipment, liaising with internal support teams
- Contribute to team coordination, workflow management, and continuous improvement initiatives
About You:
- Previous experience in an administrative role, preferably within healthcare, mental health, or similar environments
- Knowledge of medical terminology and clinical documentation processes
- Strong Microsoft Office and data entry skills with high attention to detail
- Excellent communication and interpersonal skills
- Proven organisational and time management abilities in a fast-paced environment
- Ability to work both independently and collaboratively within a multidisciplinary team
- A professional, respectful approach when dealing with consumers, families, and stakeholders Experience supporting reporting or audit processes is highly regarded
