Summary
Our client Cougar Productions is seeking to add an Office Manager to support the administration and operational activities of its expanding portfolio of hospitality, events, entertainment and lifestyle businesses. Operating brands including Turkuaz, Laila Reception, Semosh Mum’s Kitchen and Greenpine Entertainment, the organisation is focused on operational excellence, innovation and sustainable growth, providing an exciting opportunity for an experienced professional to contribute across multiple business divisions.
The typical job responsibilities will include, but are not limited to the following:
- Coordinate daily administrative and operational activities across multiple business divisions.
- Maintain office systems, workflows and procedures to improve operational efficiency.
- Manage client enquiries, supplier communications and business correspondence.
- Liaise with managers, suppliers, contractors and stakeholders to support business operations.
- Maintain accurate records, contracts, reports and digital filing systems.
- Coordinate office resources, equipment and administrative support requirements.
- Prepare operational reports and maintain administrative documentation.
- Assign administrative duties and monitor workflow completion deadlines.
- Ensure office equipment and technology systems remain operational and available.
- Support weddings, private functions and entertainment project administration.
- Prepare schedules, run sheets and event-related communications.
- Coordinate NAATI recording projects, scheduling and documentation requirements.
- Monitor workplace compliance, safety procedures and continuous improvement initiatives.
- Coordinate onboarding documentation, staff records and personnel administration processes.
- Assist management with supplier accounts, budget monitoring and operational reporting activities.
- Review administrative procedures and implement process improvements across business operations.
- Coordinate operational support requirements across multiple hospitality, events and entertainment brands.
Applicants must meet the following minimum requirements to be considered for the role:
- AQF Diploma, Advanced Diploma or higher qualification in Business, Management, Administration or a related field.
- Minimum two years' experience in an Office Manager, Office Coordinator, Operations Coordinator or other role involving responsibility for office administration systems, personnel coordination and operational support functions.
- Experience supporting multiple departments, business units or operational functions within an organisation.
- Demonstrated experience maintaining business records, contracts, reports and document management systems.
- Experience coordinating staff onboarding, scheduling, workplace documentation and personnel administration activities.
- Advanced proficiency using Microsoft Office, Google Workspace and cloud-based administration systems.
- Strong stakeholder management skills with experience liaising with clients, suppliers, contractors and internal teams.
- Demonstrated ability to support multiple departments, business units or operational functions simultaneously within a professional office environment.
- Demonstrated ability to review processes and implement administrative improvements that enhance operational efficiency.
