WesTrac is seeking a detail-oriented Warranty Officer to join our high-performing Warranty Team. This role is available at our Tomago branch, working Monday to Friday.
Reporting to the Warranty Manager, you will play a critical role in partnering with branches and ensuring the timely and accurate processing of warranty and service letter claims, maximising parts and labour recovery from Caterpillar.
This position is ideal for someone with strong administrative expertise, excellent attention to detail, strong collaborator with a continuous improvement mindset and the ability to manage competing priorities in a fast-paced environment.
- Accurately create, receive and register warranty documentation for:
- New and used machines, Work tools, Engines, Rebuilds, Fuel edge program
- Process warranty and service letter claims in line with Caterpillar requirements
- Collaborate with branches to ensure a maximum recovery of parts & labour from Caterpillar
- Support internal departments with warranty-related invoicing and queries
- Manage and respond to enquiries via the internal warranty helpdesk
- Process & maintain customer equipment data in the system
- Process Caterpillar send it back requests on failed warranty parts
- Contribute to continuous improvement initiatives to streamline and automate warranty processes
- Ensure compliance with internal procedures and reporting standards to minimise risk
- Previous experience in warranty claims processing (highly regarded)
- Power Automate experience is highly regarded
- Strong administrative experience with exceptional attention to detail
- Demonstrated ability to quickly learn new systems and processes
- Well-developed communication skills (written and verbal), with the confidence to be assertive when required
- Strong analytical and problem-solving skills
- Ability to work both independently and collaboratively within a team
- Excellent organisational skills, with the ability to manage fluctuating workloads and conflicting priorities
- Intermediate computer skills, including MS Office Suite
