Gregory Hills is a busy and well-established general practice with a strong focus on patient care, teamwork and continual improvement. Our reception team is a key part of the practice, and we are looking for someone who will bring a positive attitude, reliability and professionalism to the team.
This role would suit someone who enjoys working with people, communicates clearly, and can stay organised in a busy environment. We value team members who are willing to learn, support those around them, follow processes carefully, and take pride in providing a high standard of service to patients.
About the role
As a Medical Receptionist at Optimal Health, you will be an important part of the day-to-day running of the practice. You will work closely within our reception team with doctors, nurses and management to help keep the practice running smoothly and ensure patients are supported from the moment they contact or arrive at the practice.
This is a varied role that involves patient-facing work, phone enquiries, billing, bookings and general administrative support. It would suit someone who enjoys being part of a team, can stay organised in a busy environment and takes pride in providing a positive experience for patients.
Key responsibilities include:
- Welcoming patients and assisting with front desk enquiries in a professional and friendly manner
- Answering phone enquiries and managing appointment bookings
- Supporting patient flow and keeping patients informed of appointment delays where needed

- Maintaining accurate and confidential patient records
- Supporting doctors, nurses and the Practice Manager with day-to-day operational needs
- Assisting with recalls, follow-up tasks and other administrative workflows
- Following practice policies, procedures and accreditation requirements
- Helping maintain a clean, organised and safe reception environment
- Identifying and escalating issues appropriately, including patient concerns, equipment faults or workflow issues
About you
We are looking for someone who is reliable, organised and comfortable working in a busy general practice environment. You do not need to know everything on day one, but you do need to be willing to learn, follow processes carefully and work well with others.
To be successful in this role, you will ideally have:
- Previous medical reception experience, strongly preferred
- Experience using Best Practice, highly regarded
- Experience with Medicare claiming, Tyro, Automed or similar systems, highly regarded
- Strong communication and customer service skills
- Good attention to detail and accuracy
- A calm and professional approach when the practice is busy
- Reliability, professionalism and a strong work ethic
- Ability to follow processes and complete tasks properly
- Confidence communicating with patients from a diverse range of backgrounds
- Ability to work both independently and as part of a team
- A strong understanding of patient confidentiality
After training has been completed, the successful applicant will need to be comfortable working independently at times, including managing reception responsibilities during quieter periods or closing shifts. Flexibility to assist with weekend coverage when required will also be important.
This role is well suited to someone who understands that medical reception is more than answering phones. It is a key role in the patient experience and requires accuracy, good judgement, confidentiality, teamwork and the ability to keep things moving in a busy environment.
