About the Role
We are seeking a highly organized Program or Project Administrator to join our project management team in level1 62 South St Rydalmere NEW 2116. The role is responsible for overseeing the administrative functions of various programs, coordinating project activities, developing relationships with internal and external stakeholders, and providing administrative solutions to ensure projects are delivered on time and within budget. The successful candidate will work closely with project managers to understand program objectives, recommend process improvements, coordinate project deliverables, and provide ongoing support to project teams and clients.
Key Responsibilities
Assist in the preparation, implementation, and monitoring of project plans, schedules, and budgets to identify potential milestones and delivery opportunities. Maintain up-to-date knowledge of the employer's project governance standards, including compliance requirements, reporting software, and related administrative frameworks. Monitor project progress, budget expenditures, and resource allocations to identify bottlenecks and provide recommendations to improve project efficiency. Liaise with internal teams and external stakeholders to establish relationships, communicate project requirements, and develop collaborative working environments. Assess project administrative needs and provide professional advice on workflows and reporting processes that best meet organizational requirements. Coordinate and facilitate project meetings, workshops, and stakeholder presentations, including drafting agendas and recording accurate minutes. Prepare project proposals, status reports, and compliance documentation based on stakeholder requirements, including risk assessments and timeline tracking. Negotiate schedules and administrative resource allocations with department heads to achieve successful project outcomes. Complete project contracts, process procurement orders, and maintain accurate project documentation and records in the project management system. Coordinate the delivery of project phases and the implementation of program initiatives in consultation with technical teams and vendors. Follow up with stakeholders after project milestones to ensure satisfaction with deliverables, arrange necessary modifications, and resolve any administrative issues arising. Prepare regular governance reports, maintain stakeholder records, and provide updates to senior management regarding project performance and administrative trends.
Qualifications and Experience
Relevant qualification in Business Administration, Project Management, Management, or a related field. Previous experience in project administration, program coordination, or business support is preferred. Experience in stakeholder relationship management, budget tracking, and resource coordination. Strong understanding of organizational governance and process-driven administrative approaches.

Pay: $75,000.00 – $97,912.03 per year
