About the Role
We are seeking a detail-oriented, highly trustworthy, and organized Administrative & Client Services Officer to join our team on a full-time basis at our facility in East Perth, WA 6004.
This is a key client-facing and operational role. You will serve as the first point of contact for our clients, ensuring seamless vault access, onboarding new accounts, and maintaining an immaculate, professional office environment. Key Responsibilities
- Client Onboarding & Access: Assist new clients with account registration and verification procedures, and securely facilitate client access to their safe deposit boxes in compliance with company security protocols.
- General Office & Vault Administration: Manage day-to-day administrative tasks to support vault and bullion operations.
- Office Maintenance & Presentation: Ensure the reception, office space, and vault access areas remain clean, presentable, organized, and welcoming at all times.
- Communication & Inquiries: Promptly handle client inquiries via phone, email, and in person with the utmost professionalism and discretion.
- Records & Database Management: Maintain accurate client files, contracts, and internal records while ensuring strict compliance with privacy guidelines.
- Document Preparation: Assist with typing, formatting, and processing contracts, receipts, and administrative paperwork.
- Inventory & Supplies: Coordinate office and operational supplies, ensuring stock levels are effectively maintained.
- Special Projects: Assist management with ad-hoc administrative and operational tasks as required.
What We’re Looking For
- Relevant Experience: Proven track record in an administrative, front-desk, or high-end client support role (experience in finance, security, or premium retail is a plus).
- Strong Interpersonal Skills: Excellent written and verbal communication skills with a polished, professional presentation.
- Discretion & Integrity: Absolute trustworthiness and commitment to maintaining strict confidentiality regarding client data and security procedures.
- Attention to Detail: Exceptional precision when processing documentation, client verification, and record-keeping.
- Tech Literacy: Proficiency in Microsoft Office (Word, Excel, Outlook) and comfortable learning internal database software.
- Initiative & Pride in Work: A proactive attitude with a high standard for office cleanliness, organization, and efficient multi-tasking.
