We are seeking a highly organised and detail-oriented Asset Coordinator to join our team and support the effective administration of fleet and asset lifecycle activities across the business.
This role is ideal for an administration professional who enjoys working with systems, managing data integrity, coordinating multiple stakeholders, and ensuring compliance across a diverse fleet and asset portfolio. You will play a key role in maintaining accurate asset records, supporting telematics and fleet processes, coordinating onboarding and disposals, and ensuring all activities are completed efficiently and remain audit ready.
This is a full-time permanent role based from our Collins Street office, supporting hybrid working arrangements.

Administer telematics activities including device ordering, installation scheduling, troubleshooting coordination, and asset-device reconciliation.

Manage fleet and asset onboarding administration, including creating asset records, allocating fleet numbers, uploading documentation, and coordinating handover packs.

Support maintenance compliance activities by tracking service schedules, following up overdue actions, and collecting supporting evidence.

Coordinate redeployment administration, ensuring custodian, location, and cost centre information is updated and condition checks are completed.

Manage disposal administration processes including de-fleet workflows, removal of telematics and fuel cards, collection of documentation, and record closure.

Maintain asset and fleet system integrity, ensuring master data remains accurate, complete, and up to date.

Provide reporting support across compliance performance, onboarding activity, disposal pipelines, and telematics coverage.

Compile audit evidence packs and support internal reviews, audits, and assurance activities.

Identify and escalate exceptions, risks, or data inconsistencies to support effective asset management outcomes.
About you

Previous experience in operations or administrative support roles.

Strong data entry and record management skills with a high level of accuracy and attention to detail.

Advanced proficiency in Microsoft Excel and the broader Microsoft 365 suite.

Solid reporting and analytical skills, including the ability to develop, maintain and distribute operational and compliance reports.

The ability to prioritise workloads, manage competing deadlines and work independently.

Strong analytical and problem-solving skills with the confidence to investigate and resolve issues.

Excellent stakeholder engagement and communication skills.

A continuous improvement mindset with a focus on process consistency and system integrity.
