Primary objective
To deliver efficient administrative, procurement, financial and practical support to divisional groups, including regional staff
and internal and external stakeholders.
Key duties and responsibilities
1. Prepare and process purchase orders for the supply of goods and services; process accounts payable transactions; raise
and manage accounts receivable invoices; reconcile transactions; and investigate and resolve supplier, client and
payment queries in accordance with departmental policies and procedures.
2. Act as the primary contact officer for Katherine Research Station in liaising with private sector, other public sector
organisations and departmental staff.
3. Provide guidance and training to regional staff on purchasing and financial procedures, including the use of Corporate
Credit Cards, departmental financial systems and compliance requirements, ensuring accurate and timely processing.
4. Provide administrative and financial support to the Regional Director, Executive Officer and other staff within the work
unit as required, including coordination of correspondence, reporting, travel, meetings and general office administration.
5. Provide practical support for regional events and activities such as field days, displays and community engagement
activities. This includes assisting with planning and coordination, procurement and financial acquittals, and undertaking
physical tasks such as setting up and packing down equipment, displays and materials, transporting items, and providing
on-site support as required.
Selection criteria
Essential
1. Experience in financial and procurement administration, including accounts payable and receivable, processing purchase
orders, tracking expenditure and budgets, and managing travel and related acquittals in accordance with organisational
policies.
2. Experience in computerised financial systems, word processing, spreadsheets and database applications.
3. Current Northern Territory Driver Licence, with the ability to travel if required and undertake duties associated with
regional operations and events.
4. Well-developed interpersonal and teamwork skills, with a strong customer-focused approach and the ability to
communicate effectively and provide advice and support to staff and stakeholders from diverse backgrounds.
5. Demonstrated high-level oral communication and organisational skills, with a flexible, hands-on proactive attitude and
the ability to adapt to operational demands and changing priorities.
Desirable
1. Some knowledge of the activities of the Department an advantage.
2. Good analytical and accuracy skills.
