Reporting to the VTS Operational Coordinator, this role works as part of the Foundation Directorate administrationteam within the Prime Contract Management Department.
The position provides administrative support within the Volunteer Tutor Scheme (VTS), with a particular focus on AMEP contract management across five contract regions. You will support a high volume of internal and external stakeholders and clients, provide high-level customer service and assist in ensuring Commonwealth Government contract requirements, along with Melbourne Polytechnic policies and procedures, are implemented.
This position suits an organised and customer-focused administrator who enjoys working collaboratively and delivering accurate, efficient and responsive administrative support.
This is a 6 months fixed-term opportunity.
What You'll Do
- Provide administrative support to the VTS team relating to the operation of the Volunteer Tutor Scheme within AMEP contract functions
- Maintain and update client and stakeholder databases and information
- Communicate with internal and external stakeholders to provide program information, advice and support
- Provide high-quality customer service and ensure enquiries are handled promptly, accurately and professionally
- Collaborate with internal and external administration staff to support consistent administrative systems and processes
- Plan and prioritise administrative tasks to meet operational requirements
- Maintain accurate electronic records, filing systems and documentation in accordance with Institute policies and external quality assurance requirements
- Use a range of systems and software including Better Impact, Outlook, MS Word, MS Excel, SharePoint, STRATA, ARMS and Message Media
- Assist with internal and external audit preparation activities
- Support other areas of the Department, Directorate and Institute with administrative duties as required
- Demonstrated commitment to providing high-level customer service to internal and external stakeholders
- High-level computer literacy, including Microsoft Office applications, databases and data entry systems
- Well-developed administrative and organisational skills, including accurate data entry and record management
- Ability to plan, prioritise and manage competing tasks effectively
- Strong interpersonal and communication skills
- Ability to work independently and as part of a team, particularly during busy periods
- Demonstrated understanding of cultural diversity and cross-cultural communication
- Knowledge of compliance systems and a commitment to continuous improvement
- Appropriate qualifications and/or experience in an administrative support role, preferably within an educational environment
- Experience supporting a high volume of stakeholders and clients
- Experience maintaining databases, records and administrative systems
