As part of our ongoing commitment to digital innovation and operational excellence, we are seeking an experienced Business Analyst to support the development, enhancement, and optimisation of our business systems, websites, applications, and operational processes.
Position Overview
The Business Analyst will work closely with management, staff, agents, external IT providers, and stakeholders to analyse business requirements, improve organisational processes, and support digital transformation initiatives across Smart Study Australia.
The successful candidate will play a key role in developing and enhancing company systems, including agent management platforms, websites, referral applications, CRM systems, and reporting solutions while ensuring operational efficiency and business growth.
Key Responsibilities
Ø Consult with directors, education counsellors, migration agents, administrative staff, offshore offices, partner institutions, and external ICT providers to identify business needs and system requirements.
Ø Analyse and document business processes relating to student recruitment, admissions, course enrolments, visa applications, customer relationship management, referral programs, and client support services.
Ø Evaluate the effectiveness of existing business systems, including Monday.com CRM, agency management platforms, website enquiry systems, referral incentive applications, and Xero accounting software, and recommend improvements to enhance operational efficiency.
Ø Gather, analyse, and document functional and technical requirements for system enhancements, integrations, workflow automation, and digital transformation initiatives.
Ø Coordinate the integration and data flow between Monday.com CRM, Xero, website enquiry forms, student databases, referral platforms, and other business applications to ensure data accuracy and process efficiency.
Ø Work closely with software developers, website developers, ICT consultants, and third-party vendors to implement system improvements, upgrades, and new technology solutions.
Ø Analyse lead generation, student recruitment, application processing, commission tracking, and client service workflows within Monday.com CRM and recommend process optimisation opportunities.
Ø Monitor the accuracy and consistency of data across CRM, accounting, marketing, and operational systems and identify opportunities to eliminate duplicate data entry and manual processes.
Ø Conduct system analysis, user acceptance testing (UAT), quality assurance testing, and post-implementation reviews for websites, CRM platforms, business applications, and digital services.
Ø Develop workflow diagrams, process maps, business requirement specifications, user stories, and system documentation to support business improvement projects.
Ø Analyse business reports, financial information, student recruitment metrics, conversion rates, and operational data to support management decision-making and business growth strategies.
Ø Coordinate with finance staff to improve integration between operational systems and Xero, ensuring accurate reporting, invoicing, commission payments, and financial reconciliation processes.
Ø Assist management in planning and implementing technology projects, including CRM enhancements, workflow automation, reporting solutions, and system migration initiatives.
Ø Prepare training materials, user manuals, and standard operating procedures and deliver training sessions to staff across Australian and offshore offices.
Ø Monitor system performance, user feedback, and operational outcomes and recommend ongoing improvements to support business objectives.
Ø Prepare reports, feasibility assessments, and recommendations for management regarding ICT investments, system enhancements, business process optimisation, and digital service delivery.
Ø Maintain comprehensive documentation of system configurations, business processes, integration requirements, and technical specifications to support ongoing operations and future development activities.
Essential Selection Criteria
- Bachelor degree or higher qualification in Information Technology, Information Systems, Computer Science, Business Information Systems, or a related field.
- Minimum two years of relevant experience as an ICT Business Analyst or similar occupation.
- Demonstrated experience in business requirements gathering, process analysis, and systems improvement.
- Experience preparing business requirement specifications, functional documentation, workflow diagrams, and system documentation.
- Experience working with CRM systems, databases, websites, applications, and enterprise business systems.
- Knowledge of software development lifecycles, testing methodologies, and system implementation processes.
- Strong analytical, problem-solving, and stakeholder management skills.
- Excellent written and verbal communication skills.
Desirable
- Experience within the education, student recruitment, migration, or consultancy sectors.
- Experience with Agentcis, Xero, Meta, CRM platforms, or similar business management systems.
- Experience working with website development projects and mobile application implementations.
- Experience coordinating business process improvement and digital transformation initiatives.
