AGC Interior is a Sydney-based commercial interior design and fit-out company delivering retail, hospitality and commercial projects across NSW. We are looking for an organised, reliable and detail-focused Office & Project Administrator to support our office operations, front desk reception, supplier coordination, invoice and expense records, procurement administration and basic project administration tasks.
This is an administration and coordination support role. It is not a design, estimating, project management or accounting role. Training will be provided for our internal systems, workflows and checklists.
Applicants must have the right to work in Australia and be able to work full-time from our Sydney office.
Key ResponsibilitiesOffice Administration & Reception
- Welcome clients, visitors and suppliers to the office.
- Answer incoming phone calls, record key information and direct enquiries to the appropriate team member.
- Assist with general office administration, including emails, mail, parcels, meeting rooms, office supplies and day-to-day office support.
- Help maintain a tidy, organised and professional office environment.
Accounts Administration Support
- Assist with organising invoices, bills, expense records, receipts, delivery dockets and supporting documents.
- Assist with preparing and issuing invoices or payment details when approved by the Project Manager or Director.
- Follow up missing documents, payment status and overdue records, and notify the relevant team member when action is required.
- Assist with administrative records for company bills, insurance, vehicle renewals and maintenance bills.
Procurement & Supplier Support
- Assist with placing orders based on instructions from the Project Manager, Designer or authorised team member.
- Help coordinate orders for samples, materials, office supplies and project-related items.
- Follow up delivery status, delays, refunds, backorders and supplier responses.
- Assist with contacting suppliers or subcontractors to obtain basic quotation information when required.
Project Administration Support
- Assist Project Managers, Designers, Estimators and site teams with basic project administration tasks.
- Help follow up induction documents, supplier documents, delivery status, invoice records and other pending items.
- Assist with preparing basic property or project summary information when requested.
- Escalate urgent, sensitive or project-impacting matters to the Project Manager or Director.
All invoice, payment and purchasing tasks are administrative support only and must follow approval from the Project Manager or Director.
Requirements
- Minimum 2 years of office administration, project administration, customer service or coordination experience is preferred.
- Strong organisation skills, attention to detail and follow-up discipline.
- Good written and verbal communication skills in English.
- Mandarin and English are required for supplier, client and internal team communication.
- Confident and professional in answering phone calls, greeting visitors and handling basic enquiries.
- Able to organise documents, maintain records, follow up pending items and complete tasks accurately.
- Willing to learn and use company systems, processes and checklists.
- Reliable, proactive and able to work in a fast-paced team environment.
- Able to work full-time from our Sydney office.
Preferred Experience
The following experience would be an advantage but is not essential:
- Construction, interior fit-out, design studio, property or trade services administration.
- Invoice, purchase order, expense record, delivery record or supplier follow-up experience.
- Front desk, customer service, client phone handling or office coordination experience.
- Experience using project management, CRM, calendar, tracker or workflow systems.
