Administrative Assistant
An opportunity has just become available for a candidate aspiring to progress in their career. The candidate will be responsible for daily administrative tasks at our RTO College based in Sydney within the Vocational Education and Training (VET) sector. Your primary areas of responsibility include, but are not limited to:
- Liaising with students and agents regarding enrolment, course progression, timetables, and other academic or welfare queries.
- Visiting and communicating with education agents as part of marketing outreach and undertaking inbound and outbound calls.
- Supporting the onboarding process for new students, including orientation sessions, distribution of welcome packs, and updating internal systems.
- Monitoring and maintaining student compliance with visa conditions and academic requirements in line with CRICOS and ESOS standards.
- Updating and maintaining databases and student management systems (SMS) to ensure accurate and timely information is available to relevant departments.
- Coordinating the collection and processing of feedback from students and agents to inform quality improvement processes.
- Assisting with the preparation of academic documents such as Confirmation of Enrolment (CoE), transcripts, letters of offer and completion certificates.
- Supporting internal and external audits by preparing documentation and ensuring all student files and records are up to date and compliant.
- Managing inventory and procurement of office and educational supplies in coordination with relevant departments.
- Assisting with scheduling meetings, taking minutes and distributing agendas and outcomes to staff and stakeholders.
- Facilitating communication between students, teaching staff and administrative teams to ensure a smooth academic experience.
- Contributing to promotional and marketing activities, including preparing materials, assisting in the organisation of events and supporting agent communications.
- Maintaining confidentiality and adhering to privacy and data protection policies when handling sensitive information.
Position requirements and criteria preferences include:
- Applicants must have proficient English communication skills.
- Applicants must have proficient computer skills, particularly working with Microsoft Excel, Word and PowerPoint.
- Applicants must have excellent attention to detail, strong communication skills and high-level accuracy.
- Preference will be given to candidates with prior experience in an administrative position.
- Confidence to appear marketing campaigns and social media.

Pay rates are in accordance with the Educational Services (Post-Secondary Education) Award 2020.
