The opportunity
In this varied and impactful role, you will provide advice on policy issues and trends, relating to digital records management to the Records Manager, clients and stakeholders supporting future recordkeeping directions and strategies. Contribute to the development and review of recordkeeping policies, standards, guidance and initiatives to respond to current and emerging issues impacting digital records management including risk assessment, systems analysis and recordkeeping compliance.
You will also be responsible to:
Provide detailed advice and recordkeeping best practice to new system development proposals to ensure records compliance in accordance with the Guidelines and functional requirements for records in business systems (ISO 16175).
Undertake recordkeeping assessment for systems decommissioning and ongoing retention arrangements in accordance with the QSA decommissioning guidelines and disposal authorities.
Build and maintain effective working relationships with internal and external stakeholders, including government agencies and Queensland State Archives, to support recordkeeping advice, compliance activities and the development of practical guidance material.
Actively participate in identifying and advise on service improvements and change activities that enhance digital recordkeeping capability, including AI-enabled opportunities and the effective use of Microsoft 365 in recordkeeping.

What we are looking for (qualifications, registrations, experience)
Demonstrated expertise in enterprise digital recordkeeping, eDRMS and information governance in a large and complex organisation, with the ability to provide trusted advice and practical, compliant solutions.
Strong consultation, facilitation and influencing skills, with the ability to build productive relationships and work effectively with a broad range of internal and external stakeholders.
Demonstrated ability to prepare and improve policies, procedures, guidance or service arrangements that strengthen compliance, consistency and organisational capability.
Proven ability to deliver quality, compliant outcomes in a team environment by applying sound judgement, managing risk and meeting legislative and regulatory requirements.
Demonstrated ability to research, analyse and interpret complex issues, identify options and deliver high-quality outputs such as reports, submissions, briefings, proposals and business cases.
Highly regarded
Tertiary qualification in archives, records management, information management or a related discipline.
Experience applying recordkeeping requirements in digital workplace and business system environments and associated governance controls in a Microsoft 365 environment.
Knowledge of the Queensland Government recordkeeping framework, including the Public Records Act 2023, the Records governance policy, and authorised retention and disposal requirements.
Experience developing practical guidance, advice or uplift initiatives that improve organisational recordkeeping maturity.
