We are seeking an Asite System Administrator to take ownership of our electronic QA platform within the HSETQ function, supporting projects across the business. This role is responsible for the day-to-day administration of the Asite system, including user management, access control, troubleshooting, and ensuring the integrity and quality of project data. Acting as the internal subject matter expert, you will work closely with operational teams to support the effective use of digital QA processes and maintain compliance with company standards.
In addition to system support, you will lead the configuration and setup of new projects within Asite, including developing and testing workflows, forms, and templates. You will also develop user guides, coordinate and deliver training, and work directly with the software vendor to manage updates, enhancements, and system improvements. This role suits someone with proven experience administering a construction-based document management or CDE platform (such as Asite, Aconex, or Procore), who is confident working across both technical system configuration and practical project support.
To be considered for this position, you must possess the following as a minimum:
- Demonstrated experience administering document management systems, CDE platforms, or QA systems (e.g. Asite, Aconex, Procore).
- Strong understanding of document control, workflows, and quality assurance processes within construction or project environments.
- Proven ability to develop user guidance materials and deliver system training to varied audiences.
- Strong problem-solving skills with the ability to troubleshoot system and user issues effectively.
- Experience configuring workflows, forms, and system settings within Asite or similar platforms (Desirable)
- Knowledge of ISO standards (e.g. ISO 9001 / ISO 19650) and structured information management practices (Desirable)
- Experience working with software vendors on system improvements, upgrades, or issue resolution (Desirable)
- Experience supporting digital system implementation or rollout across multiple projects (Desirable)
As an Asite System Administrator, you will be responsible for, but not limited to:
- Administering the day-to-day operation of the Asite system, including user setup, access control, permissions, and general system maintenance
- Providing frontline support to internal and external users, including troubleshooting issues, assisting with document uploads, workflows, and QA-related forms and processes
- Configuring and setting up new projects within Asite, including creation and testing of forms, workflows, and working with the vendor to ensure effective deployment for projects
- Acting as the internal Subject Matter Expert (SME) for the Asite system, providing guidance to operational teams, subcontractor representatives, and members of the HSETQ team
- Developing, maintaining, and continuously improving user guides, procedures, and training materials
- Coordinating and delivering system training and onboarding for new and existing users to ensure consistent and effective use
- Liaising with the system vendor (Asite) to manage support queries, system updates, new releases, and functionality improvements
- Participating in testing, validation, and rollout of system updates, enhancements, and new features
- Monitoring system usage and data quality to ensure compliance with organisational standards and project requirements
- Identifying and implementing improvements to workflows, forms, and processes to enhance system efficiency and user experience
- Maintaining system governance to ensure consistency, compliance, and alignment with HSETQ requirements
