Primary objective
As part of the Accounts Receivable work unit, provide high quality, efficient, accurate and customer-focused administrative
support to deliver accounts receivable services for client agencies. This includes issuing invoices, processing receipts,
maintaining records and proactively making phone calls to debtors as part of a call centre environment to support timely
debt management and recovery.
Key duties and responsibilities
1. Provide customer-focused administrative support in a high-volume, phone-based accounts receivable service
environment.
2. Respond to client agency, debtor and stakeholder enquiries, providing clear information and escalating complex matters.
3. Support debtor account management through customer contact, accurate case records and timely follow-up actions.
4. Check, gather and update information to help resolve invoice, receipt, refund, overpayment and debt recovery matters.
5. Prepare and issue invoices, credit and debit memos, process receipts and maintain accurate accounts receivable records.
Selection criteria
Essential
1. Proven ability to provide high-quality, customer-focused administrative support in a phone-based service environment,
including delivering clear, respectful and accurate communication to a range of customers.
2. Demonstrated ability to manage phone and email queries including listening, asking relevant questions, explaining
information clearly, recording outcomes and escalating issues as needed.
3. Demonstrated high attention to detail and accuracy with administrative processes including data entry and quality
assurance, document checking and record keeping.
4. Proven ability to organise work, manage competing priorities, meet deadlines, follow processes, use initiative and work
effectively as a part of a team.
5. Demonstrated sound judgement and problem-solving skills including the ability to identify and resolve issues, and apply
relevant procedures.
6. Experience using contemporary office and information systems to manage administrative tasks including calls, emails,
spreadsheets, databases and records.
7. Demonstrated work ethic and attitude which emulates DCDD values of commitment to service, ethical practice, respect,
accountability, impartiality, innovation and diversity.
Desirable
1. Knowledge of accounts receivable, debt recovery, the Financial Management Act 1995, Treasurer’s Directions or related
public sector financial administration requirements.
