About the role:
We're looking for a highly organised and proactive Office & Mobilisation Coordinator to join our People Team. This varied role combines workforce mobilisation with reception and office administration, making you an integral part of our day-to-day operations.
Reporting to the Talent & Mobilisation Lead, you'll coordinate employee mobilisation across multiple project sites while ensuring the office operates efficiently and provides a professional experience for employees, clients and visitors.
Key responsibilities:
- Coordinate travel and accommodation for employees mobilising to remote and multi-site locations
- Prepare and maintain mobilisation documentation, including itineraries, site contacts and compliance records
- Schedule and track inductions, training, medicals and certification requirements
- Manage mobilisation enquiries and resolve travel and scheduling issues
- Manage reception, including welcoming visitors, answering phones, coordinating couriers and meeting rooms
- Coordinate office administration, including supplies, events and day-to-day office operations
Key requirements:
- Previous experience in mobilisation, workforce coordination, office administration, reception or a similar role
- Strong organisational skills with the ability to manage multiple priorities and deadlines
- Excellent communication and interpersonal skills with a professional, customer-focused approach
- Exceptional attention to detail and accuracy
- Proficiency in Microsoft Office Suite
