About the Role
Hiya Health is seeking a full-time Allied Health Customer Experience & Intake Officer to join our team based in Redcliffe on the esplanade. If you thrive in a fast-paced environment and are passionate about making every client feel valued and cared for, we want you on our team!
This role is primarily office-based, focusing on calls, managing overflow tasks and administrative engagement for new clients and contacts. You will be a vital support for our team across all clinics, ensuring smooth administrative operations. While the majority of your time will be spent on answering calls, administrative support and client engagement, you may be required to provide front-desk, customer-facing support to the Redcliffe clinic during leave.

The working hours for this role are 10:00 am – 6:00 pm.

Your role encompasses providing friendly, accurate and timely information about our services, guiding our clients through navigating various funding models, and being a friendly, engaging voice at the end of a phone.
Duties & Responsibilities
- Managing customer enquiries promptly and comprehensively (both via phone, email, online and SMS) in a fast-paced environment.
- Managing customer appointments/enquiries (booking, confirming and modifying) and general enquiries.
- Optimising and managing external communication in a timely and efficient manner, including EPC Referrals, DVA, WorkCover referrals, invoicing and accounts, NDIS plans, Service Agreements, and reports.
- Assisting clinics with diary management.
About You
- Exceptional communication skills: You are naturally friendly and engaging.
- Customer service & Admin experience: Prior administrative experience is essential.
- Call center experience: Prior experience in a call center environment, preferably within the health industry, is highly desirable.
- Clearance requirements: Ability to obtain a Blue Card, NDIS Worker Screening ID (Yellow Card), and Police Check (essential).
- Industry experience: Experience in medical reception, NDIS, and other funding models (highly desirable).
- Systems experience: Experience in using client management systems, email, Splose, Slack and HubSpot (highly desirable).
- Relationship Management (highly desirable)
- Working rights: Be located in Australia and have the right to work in Australia.
