Primary objective
Provide high level executive coordination, business administration and secretarial support to the General Manager, Strategic
and Corporate Services.
Key duties and responsibilities
1. Provide high level executive and administrative support to the General Manager Strategic and Corporate Services
including managing their diary, scheduling meetings, phone enquiries, arranging travel and coordinating and distributing
papers.
2. Timely coordination, preparation, and quality control of a variety of correspondence (often of a confidential and sensitive
nature), using the records management system.
3. Provide procurement and credit card support to the unit including monitoring and systems support for purchasing,
accounts, assets, travel, and records management.
4. Assist in identifying and implementing efficiencies to systems, procedures, and processes.
5. Actively contribute and participate as a team member of the Strategic and Corporate Services Division that support
projects, events, research, and other tasks as allocated.
6. Awareness of ministerial briefings, Cabinet correspondence and parliamentary processes.
Selection criteria
Essential
1. Proven knowledge and experience in providing a high standard of secretarial support services ensuring competing
demands are effectively managed and prioritised.
2. Highly developed interpersonal skills, including an ability to communicate professionally and work collaboratively with a
diverse range of people such as the Minister’s office, internal and external clients, and service providers.
3. High level literacy and proofreading skills, accuracy, and attention to detail, with high standards of integrity in managing
sensitive and confidential information.
4. Proven experience and competency in a range of systems, applications and complex document management including,
but not limited to, Microsoft office suite, electronic records system, travel systems, email, databases, and contemporary
IT meeting tools.

Desirable
1. Knowledge of the agency's functions and policies and/or an understanding of Ministerial, Cabinet, and legislative
