Primary objective
Responsible for developing, maintaining and coordinating business documentation required to support the successful implementation,
adoption and ongoing operation of the Health Procurement System (HPS).
Work closely with project stakeholders, system administrators, subject matter experts and regional health services to capture current and
future-state processes, develop operational documentation, and support business readiness activities including training, change
management and post-go-live support.
Context statement
NT Health is implementing Technology One to modernise procurement, inventory and warehouse management capability across the
northern regions. The rollout supports replacement of legacy Qantel processes, improved catalogue governance, inventory visibility, lot
and expiry controls, GS1 barcode scanning, fixed reorder quantities, recall traceability and a more consistent hub-and-spoke distribution
model across Top End, Big Rivers and East Arnhem. The HPS rollout requires consistent business processes, operational documentation
and training resources to support successful system adoption across NT Health Services.
Key duties and responsibilities
1. Develop, review and maintain business documentation including SOPs, user guides, process maps, workflows and reference materials.
2. Engage with business stakeholders to document current and future-state processes and identify process improvement opportunities.
3. Translate system functionality and business requirements into clear documentation suitable for technical and operational users.
4. Support the development of training resources, communications and change management materials for HPS implementation
activities.
5. Maintain documentation standards, templates, version control and knowledge repositories including SharePoint or similar platforms.
6. Review and update documentation following system changes, upgrades, process improvements and business feedback.
7. Collaborate with project team members, subject matter experts and regional stakeholders to ensure documentation accurately
reflects approved HPS processes.
Selection criteria
Essential
1. Demonstrated experience developing business documentation, procedures, user guides or operational manuals within a complex
business environment.
2. Demonstrated ability to analyse business processes and translate technical or system information into clear documentation suitable
for different user audiences.
3. Strong written communication skills with the ability to produce accurate, structured and professional documentation.
4. Demonstrated experience engaging with stakeholders to gather requirements, validate processes and support business improvement
initiatives.
5. Ability to manage competing priorities, meet deadlines and work effectively within a project environment.
6. Demonstrated ability to work independently while contributing effectively as part of a multidisciplinary project team.
Desirable
1. Experience developing documentation for ERP, finance, procurement, inventory or supply chain systems.
