About the Role
Action Auto Electrics is seeking a motivated and organised Program or Project Administrator to support the coordination and administration of internal projects within our automotive and electrical services operations.
The successful applicant will work closely with the Operations Manager, workshop teams, scheduling personnel, accounts administration and other internal stakeholders to assist in the effective delivery, documentation and monitoring of business projects.
Key Duties and Responsibilities
- Coordinate and support internal projects, including workshop improvement initiatives, system rollouts and compliance-related projects.
- Maintain project plans, documentation, timelines, action registers and project records.
- Coordinate schedules, resources, staff requirements and key project milestones.
- Monitor project progress and prepare project status and outcome reports for management.
- Assist with procurement tracking, purchasing activities and supplier coordination relating to projects.
- Maintain electronic filing systems, document control processes and project records.
- Assist with the development, implementation and maintenance of internal procedures and standard operating procedures.
- Enter, maintain and validate project and operational information within business systems.
- Participate in project and operational meetings and prepare meeting minutes and action items.
- Support project financial administration, including invoicing workflows, cost tracking and receivables.
- Liaise with internal stakeholders to coordinate project requirements and resolve administrative issues.
- Assist with process improvement initiatives and ensure project administration activities comply with organisational policies, governance requirements and workplace health and safety procedures.
Skills and Experience
Applicants should have relevant experience or qualifications/studies in project administration, project support, business administration or a related field. Applicants should demonstrate strong organisational and time-management skills, attention to detail, professional written and verbal communication skills, competency with Microsoft Office and business systems, the ability to maintain accurate project documentation and records, and the ability to coordinate multiple tasks and stakeholders.

You will be comfortable communicating with operational and administrative teams, maintaining accurate records and assisting management with project coordination, reporting and compliance activities.
