Haileybury welcomes applications for the role of ICT Project Officer to join our ICT Department. This is a full-time, two-year fixed-term opportunity (1.0 FTE), commencing 17 August 2026.
The ICT Project Officer will play a key role in coordinating and supporting the successful delivery of ICT projects across the organisation. Working closely with ICT managers, the Director of ICT, and stakeholders across the organisation, the role provides project coordination, governance oversight, and administrative support to ensure projects are delivered effectively. The position will also contribute directly to project delivery activities, fostering collaboration, continuous improvement, and the achievement of strategic technology outcomes.
Key Responsibilities
As the ICT Project Officer, you will:
- Coordinate project schedules, meetings, resources and documentation to support the successful delivery of ICT and business projects.
- Monitor project budgets and expenditure, tracking financial performance and preparing regular status reports for stakeholders.
- Prepare, document and distribute meeting agendas, minutes and project reports, ensuring actions are communicated and followed up.
- Track project milestones, deliverables and documentation, ensuring activities are completed within agreed timeframes and scope.
- Collaborate with project managers, ICT teams and key stakeholders to coordinate resources, manage priorities and support project outcomes.
- Assist with the identification, monitoring and escalation of project risks, issues, dependencies and assumptions, maintaining project registers and supporting mitigation strategies.
- Support project governance and change control processes by maintaining accurate documentation and ensuring compliance with established project management standards and frameworks.

- Demonstrated experience in project coordination or project management, with a strong understanding of contemporary project management methodologies and reporting practices.
- Proven ability to manage and engage stakeholders, project teams, and external vendors to achieve successful project outcomes.
- Strong relationship-building and influencing skills, with the ability to work collaboratively across diverse business areas.
- Experience gathering business requirements and assessing business impacts to support project delivery.
- Relevant project management certification (e.g. PMP, CAPM, PRINCE2, Agile, or Scrum) or a willingness to obtain.
- Proficiency in project management and reporting tools such as ClickUp, Microsoft Project, or similar platforms.
- Excellent organisational skills, with the ability to manage competing priorities and meet deadlines in a fast-paced environment.
- Strong analytical, problem-solving, and troubleshooting capabilities.
- Highly developed communication, negotiation, facilitation, and stakeholder engagement skills.
- An understanding of privacy, security, and compliance requirements relating to the use of technology.
- A current Victorian Driver’s Licence and a valid Working with Children Check.
