The Role:
We are seeking a detail-oriented and proactive Purchasing Officer to join our team at our global head office in Kilsyth, Melbourne. In this role, you will be responsible for overseeing the delivery of outstanding orders, managing price discrepancies, and collaborating with internal stakeholders and suppliers to resolve issues and ensure the timely delivery of products and services. Key Responsibilities:
- Order Management: Convert internal Purchase Requisitions into Purchase Orders, ensuring compliance with business rules and supplier requirements, and issue orders to both local and overseas suppliers.
- Supplier Coordination: Monitor and update ETAs for incoming goods, follow up with suppliers on delivery status, and address any discrepancies or delays.
- Dispute Resolution: Manage price discrepancies, raise Supplier Cost Amendment forms where necessary, and resolve any issues related to outstanding orders.
- Landed Cost Process: Input and allocation of landed costs.
- Shipping and Delivery: Coordinate with the 3PL provider to arrange overseas shipments and ensure smooth container deliveries with the warehouse.
- Performance Monitoring: Monitor the open order report and take necessary action to ensure orders are fulfilled on time. Track supplier delivery performance and address any concerns.
- Supplier Reviews: Participate in supplier reviews and identify opportunities for process improvements.
Required Skills, Experience, and Attributes:
- Strong attention to detail and accuracy in managing orders and resolving discrepancies.
- Proficiency in MS Office Suite, particularly Excel (VLOOKUP, IF, COUNTIF, and Pivot Tables), and experience with data analysis (e.g., tracking orders, delivery dates).
- Experience with ERP systems such as JDE (preferred), SAP, or Dynamics.
- Previous experience in purchasing, procurement, or supplier management is highly desirable.
- Excellent communication, problem-solving, and negotiation skills with suppliers.
- Ability to manage multiple tasks under time pressure while prioritising effectively.
