The purpose of this role is to provide high quality, professional administrative support, of a complex nature, on all In-Home Care (IHC) and Family Day Care (FDC) matters.
Key responsibilities will include:
- Ensure training and tools are available and provided to IHC and FDC educators to ensure effective use of applications/systems relevant to their role.
- Liaison and correspondence with internal and external stakeholders including telephone and visitor enquiries, clients, educators and Government departments and other relevant stakeholders, providing high-quality customer service at all times.
- Processing of attendance records and provision of attendance records support for educators and parents/guardians.
- Collect accurate data required for appropriate Government agencies and organisations, completing administration of the Commonwealth Government Child Care Subsidy and other applicable payments, including Inclusion Support funding.
- Maintenance and reporting of financial records regarding operations and Child Care Subsidy.
- General financial duties including accounts payable and receivable, administrative payments, and banking.
- Records management including preparation of reports as required and in accordance with statutory requirements.
- General administrative duties including word and data processing, document management, filing, ordering stationery and maintaining meeting records.
- Participate in staff meetings and quality assurances procedures.
- Demonstrated ability to clearly, effectively and confidentially communicate orally and in writing with colleagues, coordination staff, children, families and clients, whilst managing competing views.
- Model professional and ethical behaviour demonstrating an attitude of acceptance and respect for all children and their families, with an ability to act with impartiality, honesty, operate flexibly and use effective teamwork skills.
Qualification in business administration or related course (Desirable).
- Previous experience in a similar role within an early childhood education, In-Home Care or Family Day Care setting.
- Demonstrated high level of organisational and time management skills, whilst also providing a strong customer service focus.
- Demonstrated ability to respond appropriately in difficult situations with parents/guardians and parents/guardians.
- Ability to multitask, set priorities, work with limited supervision and part of a team.
- Demonstrated knowledge and understanding of current Education and Care Regulations, National Quality Framework and IHC & FDC operating environments.
- Ability and willingness to work within the Philosophy, Policies and Procedures of The Uniting Church in Australia.
- Be personable with a commitment to building strong relationships with home-based educators, coordinators, children, families, key stakeholders/customers across the Church and its agencies, boards and committees of the Synod.
- Intermediate computer skills, including Microsoft Office suite, Internet and previous experience with childcare/human resource management software (i.e. Harmony, Kronos), is highly desirable, along with demonstrated attention to detail, timeliness, analytical and focussed on outcomes.
