We’re looking for a highly organised and proactive Sample Manager to join our studio team.
This role plays a critical part in ensuring the smooth flow of samples through our photography production process. Working closely with our clients, account management teams, photographers, stylists and production teams, you’ll oversee the end-to-end management of samples across multiple retail accounts, ensuring products are received, tracked, prepared, photographed and returned efficiently.
You’ll be the central point of coordination for sample management, driving best practice processes, maintaining accurate inventory records and ensuring our studios have the products they need, when they need them.

Role Responsibilities
Some (but not all) of the role’s responsibilities include:
- Managing the end-to-end sample workflow across multiple retail clients and studio productions.
- Overseeing the receipt, tracking, storage, movement and return of all client samples.
- Maintaining accurate inventory records and ensuring sample databases are up to date.
- Monitoring sample volumes, identifying risks and proactively resolving issues that may impact production schedules.
- Coordinating sample allocation across photography, video and content production projects.
- Leading and continually improving sample management processes, systems and workflows.
- Conducting regular audits to ensure inventory accuracy and compliance with studio procedures.
- Managing sample storage areas to ensure products are organised, accessible and maintained in excellent condition.
- Working closely with account management, production, styling and photography teams to support production requirements.
- Liaising with clients regarding sample deliveries, returns and inventory queries.
- Producing reporting and insights on sample volumes, stock movements and operational efficiencies.
- Managing and supporting a small team of Sample Coordinators.
- Ensuring all sample handling activities are undertaken safely and in accordance with company policies and procedures.
Experience, skills and expertise
We’re looking for someone who:
- Has 3+ years’ experience in inventory management, sample management, stock control, logistics or a related operational role.
- Has experience working in a retail, production, eCommerce, creative or studio environment.
- Demonstrates exceptional organisational and time management skills.
- Is highly detail-oriented with strong accuracy and problem-solving capabilities.
- Can confidently manage multiple priorities and competing deadlines in a fast-paced environment.
- Has excellent communication and stakeholder management skills.
- Is proactive, solutions-focused and able to anticipate potential issues before they arise.
- Is comfortable working with inventory management systems, Google Workspace and Microsoft Office applications.
- Has experience developing or improving operational processes and workflows.
- Can perform manual handling and lifting tasks when required and follows all WHS requirements and safe work practices.
